This is a high-level view of the Compensation Business Process defined in the Equus Platform™.

The diagram above depicts the compensation data and communication flow between Equus Platform™ and other systems that have or require information about an employee’s compensation.

The three compensation modules that will be discussed below are Compensation Worksheets, the Payroll (Pay) Register, and the Compensation (Comp) Accumulator.

Compensation Worksheets

Compensation Worksheets are created for an assignment and define the payment amounts, currency, method and location by compensation worksheet line item. Based on some upfront configuration payment amounts can be calculated by a number of factors including data provider data, exchange rates, percentage of salary or custom calculation.

The Compensation Worksheet Transaction Processing screen allows the user to create accounting transactions (or payment requests) from the compensation worksheets for a particular payroll system.

When payroll reporting is processed for primary payroll and primary payment transactions, reports and/or payroll feeds are generated and can be published to the payroll portal. At this time, external payroll users are notified that new payroll reports are available for download.

When payroll reporting is processed for secondary payment transactions, reports and/or payroll feeds are generated and can be published to the payroll portal. At this time, external payroll users are notified that new payroll reports are available for download.

Payroll reporting can be published to the GROW portal where external payroll users can login and download the payroll feeds or reports.

Optionally compensation worksheets can be published to the employee portal for employee review. A batch process exists in the system that allows a user to publish any combination of the following:

  • Original Comp Worksheets

  • Compensation Worksheets with Changes

  • Compensation Worksheets with No Changes

  • Retro Compensation Worksheets

Each payroll period the primary payroll system reports all known compensation to the Equus Platform. Once received from the primary payroll system, this data can be imported into the Pay Register.

Each payroll period, the secondary payroll system should be notified of all employee compensation. When payroll reporting is processed for shadow payroll, reports and/or data feeds are generated and can be published to the payroll portal. At this time, external payroll users are notified that new payroll reports are available for download.

Compensation Accumulator

Typically systems report compensation back to the Equus Platform regarding all employee compensation on a quarterly or annual basis. This data can come from many sources and should be imported by source. The data can be imported in multiple currencies.

External payroll users can login to the payroll portal an upload compensation data. Internal users are notified when new data files are uploaded to the payroll portal.

All known compensation is reported back to the primary payroll system out of the comp accumulator. When the data is reported to the primary payroll system, the system calculates the compensation amounts in the primary payroll system’s currency.

When payroll reporting is processed for compensation accumulator data, reports and/or data feeds are generated and can be published to the payroll portal. At this time, external payroll users are notified that new payroll reports are available for download.

Global Statement of Earnings (year-end reporting)

The global statement of earnings report is a comprehensive look at employees’ global compensation. While typically producing year-to-date results, the report can support any timeframe. This report can be sent to a tax provider/consultant to complete year-end tax reporting. Global statement of earnings report can be generated by Category or by Pay Source.
