Compensation Control Panel - Comp Accumulation
The Comp Accumulation tab allows the internal payroll administrator to manage the compensation accumulation collection effort. The four steps in the comp accumulation collection process that can be managed on this tab are:
Requested - Send Comp Accumulation Requests
Started - Manage Comp Accumulation Instruction Downloads and Send Reminders
Submitted - Manage Comp Accumulation Uploads/Submittals and Send Reminders
Imported - Import Uploaded Comp Accumulation Files
This tab does not currently manage the comp accumulation audit process.
The internal payroll administrator will need to configure the details that drive the Comp Accumulation tab before use. There is a Configuration link to the Compensation Accumulation Configuration screen. The process calendar that shows on the Comp Accumulation tab is set up on this Configuration screen. The Configuration screen also allows the administrator to select the "from" e-mail used for all request and reminders, set due dates and configure process documents.
Requested
By clicking Send, the internal payroll administrator can send an email communication out to the external comp accumulation payroll contacts. The email that is sent to the external comp accumulation payroll contact is determined by the Comp Collection Method that has been selected for the Payroll System. In addition, all process documents that are configured will be published to the external payroll portal for download.
X/X represents the total number of emails sent out of the total number of Payroll Systems (*1) for the Company. Click the Details By Payroll System (*2) link to view the status of the comp requests by Payroll System. Even if an email cannot be sent, process documents will still be published to the portal.
The date shown is the Request Date that is set on the Configuration screen. If the Request Date is not set then no date will be shown and the download and upload due dates cannot be determined (although requests and reminders can still be sent.)
IMPORTANT NOTES:
Comp Request can be sent more than once. However, it is important to understand that the requests will be re-sent to ALL external comp accumulation payroll contacts again and the process documents will be published to the portal again.
The Send can take several minutes to process if there is a merge document configured. It is not necessary to wait until the processing is complete before navigating away from this screen.
Started
The internal payroll administrator can track the progress of downloads/the start of the data entry process. X/X represents the total number of Payroll Systems that have downloaded a file or stated entering data out of the total number of Payroll Systems(*1) for the Company. Click the X/X link to view the documents published to the external payroll portal. Click the Details By Payroll System (*2) link to view the status of the downloaded files by Payroll System.
By clicking Remind, the internal payroll administrator can send an email communication out to the external comp accumulation payroll contacts that have not downloaded any files or entered any data.
IMPORTANT NOTE: If the external payroll administrator has downloaded one file or entered just one expense then the started step is considered complete for that Payroll System.
Submitted
The internal payroll administrator can track the progress of uploads or submitted data. X/X represents the total number of Payroll Systems that have uploaded a file or submitted an entire collection period for each assignee out of the total number of Payroll Systems(*1) for the Company. Click the Details By Payroll System (*2) link to view the status of the uploaded files by Payroll System.
By clicking Remind, the internal payroll administrator can send an email communication out to the external comp accumulation payroll contacts that have not uploaded any files or submitted their collection periods.
Imported
By clicking Import Files, the internal payroll administrator can import all the uploaded files for a process calendar period. X/X represents the total number of Payroll Systems that have had a file imported out of the total number of Payroll Systems (*1) for the Company. Click the X/X link to view the status of the import and/or to import each uploaded file individually.
IMPORTANT NOTES:
Only Payroll Systems using the File Import Collection Method will be reflected in this column.
Only the 'Compensation Accumulator Import' is supported from the Control Panel. If the 'Compensation Accumulator Simple Format Import' needs to be used, the comp import must be completed on the Company Imports screen.
When importing all uploaded files at once, the following import parameters are used:
Description = Payroll System Name and the User Name
Comp Accumulator Data Source = Payroll System Name and the User Name
Exchange Rate Date = Select Date from Import File
The Requested, Started and Submitted columns will also show the Last Sent date for each period when applicable. If a period is made inactive in the Compensation Control Panel Configuration – Comp Accumulation Process Calendar it will not be shown on this screen. The collection periods will be sorted with the newest periods by start date appearing at the top.
(*1) It is not currently possible to turn off the comp accumulation process for a Payroll Systems. However, if you do not configure external comp accumulation payroll contacts for the Payroll Systems no emails will be sent.
(*2) The Details By Payroll System link will allow the administrator to view the status of the Requested, Started and Submitted steps by Payroll System. Payroll System details are not available until the comp accumulation process has begun.
Compensation Control Panel - Comp Accumulation - Details by Payroll System
This comp accumulation process detail screen shows the status, by Payroll System, the details and statuses of the comp collection process. This will allow the internal payroll user to know which Payroll Systems have and have not completed the comp accumulation request.
By default, only the Payroll Systems that have not completed all steps are shown. To show all Payroll Systems, change the Include to be "All Payroll Systems."
The status is the status of comp accumulation up to comp uploaded/submitted. It does not include comp imported or approved. Icons have been designed to give you an overall status (Not Complete, Complete, Not Due Yet). Simply hover the mouse over any icon to see what the icon represents. Steps are not due yet when the due date is greater than today or when there is no due date configured.
All comp accumulation payroll contacts are listed under the Payroll System name. The contact name is an email link that can be used to quickly email the contact directly from this screen. A message will be displayed when there are no comp accumulation contacts configured. The Payroll System name is a link to the Payroll System - Reporting tab so that comp accumulation contacts can be added quickly.

Method
The Method column will display the Method selected for the Payroll System – Comp Accumulator Collection Method using an icon, hover over the icon to see additional detail. When a template is set for the Payroll System – Comp Accumulator Template an “Online Data Entry Screens” link will also appear which can be used to access the Data Entry screens.
Requested
The Requested column will be marked as complete when all emails have been sent to the comp accumulation payroll contacts for the Payroll System regardless of the selected Comp Accumulator Collection Method selected for the Payroll System.
Note: Remember that even if an email cannot be sent, process documents will still be published to the portal.
Started
The logic used to mark the Started column as complete varies by the Comp Accumulator Collection Method selected for the Payroll System.
File Import - Started is complete when an external payroll contact has downloaded at least one file for the period.
Note: Remember that even if there are multiple files published for a period, this step is considered complete if only one file has been downloaded.
Online Data Entry – Started is complete when some data has been entered and saved for at least one Assignee in the Collection Period
Submitted
The logic used to mark the Submitted column as complete varies by the Comp Accumulator Collections Method selected for the Payroll System.
File Import – Submitted is complete when an external payroll contact has uploaded at least one file for the period.
Online Data Entry – Submitted is complete when all months for all Assignees in the given Collection Period have been submitted.
Compensation Accumulator Period Assignees
The Compensation Accumulation Period Assignees screen lists the available assignments that are ready to receive Compensation Accumulation entries. This list is generated from a user report. The user report used to generate this list can be selected on the Compensation Accumulation Configuration screen. If no report is selected here then the default report will be used. The values in the Assignee Name column come from the assignment record's employee name. The Submission Status column will display one of three values “Not Started”, “In Process” or “Completed”. “Not Started” will be seen when no data has been saved for the Assignees for the collection period. “In Process” will be seen if some data has been saved for the Assignee for the collection period. “Complete” will be seen if all months in the collection period have been submitted for the Assignee.
Clicking on an Assignee's name will take the user to the corresponding assignment on the Compensation Accumulation Data Entry screen.
Internal Comp Accumulator Edit
Data Entry
The Comp Accumulator Edit screen is comprised of two sections. The top portion of the screen is the data entry portion and will list the months included in the selected collection period.
The months available on this screen are determined by the Begin Date and End Date of the Comp Accumulation Process Calendar record. The system will determine the existence of a month in a given collection period if the Begin Date and End Date range includes any day from that month. For example, if the Begin Date is 1/31/2013 and the End Date is 3/31/2013 then the collection period will include January, February and March.
Data can be entered for the desired month by selecting that month. If data has been previously entered for the Assignment then the Prior Amount, Prior Date, and Copy columns will be pre-populated with data from the most recently previously entered expenses. This data is pre-populated to allow for recurring expenses to be easily reentered month to month. The expense can simply be recreated or copied by selecting the copy option. The Amount and Currency is the information that will be copied.
To enter an expense that differs from any previously entered expenses select the green + icon. This will create a new row in the data entry grid and allow for the entry of a new expense.
The required data for each expense includes Amount, Currency and Date Paid. Additional validation exists on the Paid Date field so that the date entered must be within the current month and Collection Period. The acceptable date range is determined by the Begin and End Date range entered in the Comp Accumulator Process Calendar on the Compensation Accumulation Configuration screen. For example, if the Begin Date of the Collection Period is 01/15/2013 and the End Date is 03/31/2013. Then the accepted dates for January would be 01/15/2013 to 01/31/2013 but anything prior to 01/15/2013 will not be accepted.
Note: Once the Comp Accumulator Process Calendar record has been created on the Compensation Accumulation Configuration screen and the corresponding Collection Period has been accessed through the Online Compensation Accumulation process the Paid Date logic will always use that Begin and End date even if the Begin and End dates are changed in the Comp Accumulator Process Calendar.
The Where Paid and Comments fields are not required unless they have been configured at a Comp Accumulator Template level to be required.
Once the month is complete for the selected Assignee it can be submitted via the Submit button. Once a month is submitted it can no longer be edited. A user must be granted Execute rights to Comp Accumulator Edit screen in order for the Submit button to be enabled.
Once the month is submitted, it can be Unsubmitted or Approved via the cooresponding buttons. These buttons will only appear when the month has been submitted. A user must be granted rights to the Compensation Accumulator – UnSubmit and Compensation Accumulator – Approve screen sections to perform these actions.
Once the month is approved, it can be UnApproved via the Unapprove button. This button only appears when the month has been approved. A user must be granted rights to the Compensation Accumulator – UnApprove screen section to perform this action.
Historical Data
The bottom portion of the Comp Accumulator Edit includes the Historical Data section. This section of the screen will list the historical data for employee by Expense Type for the previous year by month. The Historical Data grid will update as data is entered and saved for the employee. The grid will include the current month being worked on and the past 12 months. The grid will adjust as a different data entry month is selected. For example, if data is being entered for March the Historical Data grid will begin with the March from the previous year (on the left) and end with the current March (on the right). If February is then selected in the data entry section of the screen, the historical grid will adjust and begin with the February from the previous year and end with February from the current year.
