The Requests tab dynamically changes based on the control chosen on the General Tab for Cost Estimates or Assignment Packages.

Authorization Template Request Tab

If the Cost Estimate or the Assignment Package value is selected for the Control field then Custom Prompts that are for Cost Estimate templates per Authorization Template can be designated. For example, the Authorization Coordinator can request multiple cost estimates and specify which Cost Estimate Type they would like to use for each Authorization.

The Authorization Coordinator can select a Custom Prompt Set and specify the maximum number of Cost Estimate Requests using Maximum Requests, which will appear on the Cost Estimate tab on the Authorization screen. If no cost estimate request type is configured, the coordinator can still submit a cost estimate request, but it will not specify a type.

The Authorization Coordinator can allot a maximum number of Cost Estimate Requests per Authorization template. This number will be displayed on the Cost Estimate tab in the Authorization screen.

To add multiple cost estimates, the Authorization Coordinator will click on new and will choose a template from the drop-down list. They can then select the applicable prompt set and rename the template. If the coordinator chooses not to rename the template, the default name will be shown. Templates may also be removed, by selecting the delete checkbox.

Assignment Packages Requests

If the Assignment Packages control is chosen on the General tab, the Request tab will have much of the same functionality as Cost Estimates including Maximum Requests and Custom Prompt Set. The main difference is that with the Assignment Packages, the level of request process automation can be set for external users and internal users when making requests.

Automated Processing slider: Move the slider along the grid from left to right to increase the amount of automation that the external and internal users will receive in the process. If more information is desired about what is happening at each process level, hovering over the [?] will show the user what will happen if that automation set-up is chosen.

Slider Values Help Test

The slider values are as follows:

  • Send Package Request Only – This will work the same as Cost Estimate requests. A request will be sent to the internal user who must create the assignment and process the assignment package request before manually delivering it back to the authorization.

  • Create AssignmentWhen a request has been submitted by the external user, the assignment/relocation will be automatically created. A request will then be submitted to the resource to create the assignment package and review it. It will need to be manually delivered once again back to the authorization.

  • Create PackageThis setting allows for requests to automatically create the assignment as well as the assignment package for an assignment/relocation. Much like the first two manual processes, these packages can be reviewed and then manually delivered back to the authorization. This is the default.

  • Create & Deliver Package – Much like the Package Creation setting, this setting too will automatically create the assignment and assignment package, but will also automatically deliver it back to the authorization if no errors occur for any elements of the assignment package. If errors occur, a notification will be sent to any internal notifiers set-up to let them know the errors need to be corrected and the package updated before it is manually delivered back to the authorization.

  • Create & Deliver Package with ErrorsThis setting allows for the user to take full advantage of the system. If a request is submitted using this setting, all of the above processes take care and the reports/documents from the package will be automatically back to the authorization whether there is errors or not.

To add multiple Assignment Package Request Types in the Assignment Package Request Types grid:

  • Click

    new button

  • Choose a template or package configuration from the drop-down list

  • Select the applicable Custom Prompt Set

  • Rename the template. If the template is not renamed, the default name will be shown.

Templates can be removed by selecting the delete check box and clicking

save button

All settings on this page are ignored in the case of a Core Flex Policy being selected during Authorization. In that case the Assignment Package settings are a set by the system and the Assignment Package used is set by the Policy configuration.
