What is DocuSign?

DocuSign is a leading eSignature brand and Equus Platform uses DocuSign as its electronic signature document provider (e-signature provider) to support the collection of signatures electronically, as well as monitoring the progress of signature collection.

If you wish to implement DocuSign, contact your Equus representative to obtain a DocuSign account via Equus or connect your existing DocuSign corporate account. An account is required to supply envelopes and enable integration between Equus Platform and DocuSign.

What are the key benefits?

  • Speed up and simplify the process of obtaining signatures

  • Multiple devices supported - signers can sign on desktop, tablet or mobile

  • Signers do not need to be Equus Platform users

  • Reduce hardcopies and improved security

  • Track status from within the Equus Platform; senders can view the history of who has signed and when, as well as who has viewed the document, but not signed.

  • Signed documents automatically saved to the Equus Platform

The below outlines the phases in the Equus Platform from creating a document for e-signature to saving the signed document.

What are the configuration steps to send and use e-signature documents?

  1. Update security roles for signature requesters to send documents for e-signature

  2. Identify documents to be sent for e-signature, plus who will sign each document and in what order where there are multiple signers

  3. Configure email templates to send documents. Include the new merge tag &EQ_DOCUSIGN_LINK to provide a link to the document in DocuSign

  4. Configure merge documents to include the e-signature merge tags, format EQ_ESIGNATURE_ (Word or Excel) or &EQ_ESIGNATURE_ (RTF) and specify the e-signature email template

  5. Test by uploading a new merge document to send, specifying the signer and email template to use

What functions are available after configuration?

Things to note

  • Documents for e-signature can only be generated one at a time

  • Documents are generated manually and only from the Assignments Document screen

  • E-signature documents support system e-mail header configuration including the &EQ_FROM_EMAIL merge code to show the name of the user that sent the document for signing

  • When any of the Email Header Settings are set to the &FROM_EMAIL merge code and an e-signature document is sent to multiple signers, all signers will see the e-mail address of the original user that started the signing process

  • A document must be set up as an e-signature merge document in order to use DocuSign. Note that Ad-hoc / one-off documents (for example an individual’s lease agreement) cannot be sent from the Equus Platform for digital signature, unless setup as an e-signature document to initiate routing for signature.
