An Authorization is used to initiate new assignments or relocations in the Equus Platform. Authorization statuses track the authorization progress, making it clear where each request stands and what actions are needed. This improves transparency, reduces delays, and streamlines workflows from initiation to approval.
The following status is available for Authorization Status:
Not submitted - Authorization is in progress, with data currently being populated.
Authorization Submitted - If the "Create/Update Assignment and Set Status to Complete when Finalized" is unchecked or Set Status to Complete when Finalized is unchecked, the status is set to Authorization Submitted. Note, when clicking "Create/Update Assignment", the status will change to Authorization Complete
All Required Approvals Received - All necessary approvals for the authorization have been received. Note, when clicking "Create/Update assignment record", the status will change to Authorization Complete
Authorization Complete - This is the status when the assignment is created from the authorization or the authorization will switch to this status once the following settings are enabled::
All required approvals received (automatic) is selected to finalize authorization
When and Create/Update Assignment is checked
When Set Status to Complete when Finalized" is checked
Approval Routing Started - The authorization is forwarded to the designated approvers for review and approval
Approver Denied - When an approver rejects the authorization request
Cancelled - When the authorization is marked as canceled in the Cancellation tab
When an authorization is being created, there is an option to incorporate a Cost Estimate or an Assignment Package. The cost estimate status will also show in the authorization. The following statuses will also available for Cost Estimate:
Not Submitted - Authorization is being created
Received - request for the cost estimate has been created
Things to Note
When the status is Authorization Complete and the assignment is created on the Cost Estimate/Assignment Package tab, the create/update assignment button will be greyed out
