Equus Platform will read the Annual Base Pay amount with the appropriate Effective Date for the compensation worksheet Calculation Period. If there are multiple Annual Base Pay amounts appropriate for the Calculation Period, the system will pro-rate the amounts appropriately.

Compensation Data Repository Based Calculation

Available in Cost Estimates, Compensation Calculations and Compensation Worksheets

This calculation will read the amount of a Compensation Data Repository line item if the line item name matches the Caption or Description of the Cost Estimate, Compensation Calculation, or Compensation Worksheet line item.

The calculation will return the value for the line items based on the comparison of Effective Date and End Date to the Cost Estimate or Compensation Calculation Effective Date. In Compensation Worksheets, the Effective Date is compared to the Calculation Period of the Effective Worksheet. For example:

  • if there are two line items with name of “Base Salary” that don’t have an End Date, and

  • the Effective Date on one of the line items is 1/1/12, and

  • the Effective Date on the other item is 1/12/13, and

  • the Cost Estimate Effective Date is 1/15/13 then:

  • the “Base Salary” line item with the Effective Date of 1/12/13 will be returned.

Line items with no Effective Date, future Effective Dates (a date greater than the effective date of the Cost Estimate, Compensation Calculation or Compensation Worksheet Effective Period), or End Dates before the effective date of the Cost Estimate, Compensation Calculation or Compensation Worksheet Effective Period will not be returned.

When values are retrieved from the Compensation Data Repository, they may be converted into a usable currency by a Compensation Worksheet, Cost Estimate, or Compensation Calculation.

When retrieving a value into a Compensation Worksheet, the value is converted to the Compensation Worksheet’s Home Country Currency using the effective exchange rate (if available). The effective rate is found by using the Begin Date of the pay period as an effective date, and then using the exchange rate lookup rules established at the company.

When retrieving a value into a Cost Estimate or Compensation Calculation, the value is converted to the Data Entry Currency using the effective exchange rate (if available). The effective rate is found by using the Effective Date of the calculation, and then using the exchange rate lookup rules established at the company.

In all cases, if an effective exchange rate cannot be found (either the required exchange rates have not been loaded into the system or the rate is outside of the acceptable range defined in the company settings) an error will be returned.

Compensation Data Repository Calculation – One-Time

Available in Compensation Worksheets only

This calculation will read the amount of a Compensation Data Repository line item if the line item name matches the Caption of the Compensation Worksheet line item. Use this calculation when the amount paid to the employee is to be provided in a single payment, such as an annual bonus.

All information from the previous section “Compensation Data Repository Based Calculation” applies to this calculation. However, using this calculation will tell the Compensation Worksheet to not divide by the number of payroll periods. Line Item Amount Adjustments rules are applied if they are entered.

Take care that when configuring the one-time payment’s Effective Dates, they should only be within a single Compensation Worksheet’s Effective Period; if it exists within two Effective Periods, it will be paid twice.

ECA Cost of Living

ECA COL Calculation Specifics

The ECA COL calculation has the following formula:

COL Calculation = ((Total Spendable Gradient x Annual Base Pay + Total Spendable Constant) x ((COL Index/100) - 1)) / Appropriate Calculation Period

A System Preference has been added to accommodate the ECA COL Calculation; BSHTCACOLN Allow a COL Index less than 1, the Default = EQFALS. This means that the system will default to only producing a Col calculation when the COL index is greater than 100, if you would like a negative COL to be calculated this preference can be changed to EQTRUE.

Here is a legend of how family size will be used:

ECA Cost of Living Adjustment expects the Net Pay to be entered as the base salary.

If you want to hand select the ECA data used you can uncheck the Use Current Data Provider Version for Calculation and that will allow you to specify the Spendable Version as well as COL Home Location, COL Host Location COL Index Type, and the COL Version. It will then show you the resulting COL Index based on your selections and you still have the option to override it if necessary.

The COLA calculation will calculate the Spendable Amount based on the inputs within the Mercer Cost of Living Adjustment line item, regardless if a Spendable line item exists on the balance sheet or not; UNLESS a Spendable line item exists and is set with a Calculation Method of Fixed Amount in Home Currency, in that case the fixed amount will be used in the COLA calculation.

The “Allow Negative G&S Differential for Mercer, ORC & AIRINC compensation calculations” System Preference will default to only producing a COLA calculation when the COL index is greater than 100; it will set the COLA to 0 if the calculated amount is less than 0. If you would like a negative COLA to be calculated this preference can be changed to Yes. This preference is used by comp worksheets & cost estimates.

Mercer Cost of Living Adjustment supports the use of the “Use Max Cap if Salary Range Exceeds the Max Range Mercer Salary-Based Calculations” system preference. Setting this preference to “Yes” will use the Mercer Index Related Spendable Percentages or Mercer International Spendable Tier 2 values for the maximum salary range for calculations that contain a salary beyond the maximum salary range provided.

The System Preference related to allowing a negative G&S Differential (COLA) (“Allow Negative G&S Differential for Mercer, ORC & AIRINC compensation calculations”) does not apply to the Mercer Cost of Living Adjustment using Fixed Spendable. The COLA will calculate and if the calculated value is negative, the system will allow the negative amount, not change it to 0.

*The COLA Index used in the calculation may be overridden by deselecting the “Lookup Automatically” checkbox and typing in a Percent to be used. When the “Lookup Automatically” checkbox is ticked and the line item is set to calculate, the system will look up the value and display it here whenever a calculation is performed.

The Mercer host housing costs are based on monthly rental costs in host dollars. The amount lookup up in the Mercer data tables will be multiplied by 12 and converted to home dollars using the Comp Worksheet’s exchange rate in order to calculate the annual host housing cost in home dollars. The annual host housing costs will then be divided by the number of pay periods to calculate the pay period host housing costs in home dollars.

There is a system preference available at both the system and company level that will allow the user to determine what Family Size number constitutes Single and Family. If the system preference is set to Yes a Family Size of 1 and 2 will use the Single ORC Home Housing Norm indexes in the ORC Home Country Housing Norm calculation. Any Family Size larger than 2 will use the Family ORC Home Housing Norm indexes in the ORC Home Country Housing Norm calculation. If the system preference is set to No then a Family Size of 1 will use the Single indexes and a Family Size of 2 or larger will use the Family indexes.

Use Host Family Size for ORC Home Norm Calculation System Preference

There is a system preference available at both the system and company level that will allow the user to determine if the Host Family Size or the Home Family Size should be used in the ORC Home Country Housing Norm calculation. If the system preference is set to Yes the Host Family Size will be used for the ORC Home Country Housing Norm calculation. If the system preference is set to No the Home Family Size will be used for the ORC Home Country Housing Norm calculation.
