When a Business Travel case record is created in the Equus Platform, an automated feature uses the Vialto Assessment Engine to generate compliance risk assessments for business travelers. These assessments are designed to provide critical information related to Tax, Posted Worker Directive, Immigration, and Social Security as soon as a new travel destination is added to a business travel case.
Assessment Requirements
The 'Tracking Destination Activities' section is exclusively available for Business Traveler types. To generate an accurate assessment using the Vialto Assessment Engine, the following information must be provided:
At least One Activity
Start and End Dates
Primary Citizenship (at the employee level)
After adding the destination details into the case record, a unique feature of the Business Traveler Mobility Type is the ability to include tracking details for its activities.
Click ' + Add Activity' to add and specify each activity that the employee will be doing on his/her business trip. The information provided will be used to create an accurate travel risk assessment.
Select the corresponding Activity Code from the list and specify the Number of Days. Click
after all activities are added.
Note, that the work days calculation for a business travel defaults to the period between the start and end dates. However:
If specific working days are selected, only those days are counted.
If no specific days are selected, the system assumes the employee is working every day of the week (7 days a week).
If all requirements are met, after adding destination details and saving, a QWF (Travel Destination Assessment on record creation) will automatically be triggered to request an assessment from the Vialto compliance engine.
Other users such us Relocation Managers, Coordinators or External Users who are using the Mobility Manager Widget can initiate manually the request by clicking the
button.
Viewing the Results
Internal users can use the internal Destination Details screen to verify the results, or the Mobility Manager Widget. At the bottom of the internal Destination Details screen, you can access the Assessment Results section to view the results. This will clarify information about assessments and Travel Destination Activities for mobility managers.
Destination Details
The
button can be used to update results manually or automatically through a background service. Alternatively, internal users can modify the destination activities. Under the Destination Activities section, click
to define a new activity or tick delete on an item to remove the activity from the grid. Once destination activities are updated, the user can click
to save and request a new assessment.
Note a summary of these results is also available on the main details screen:

Dashboard
A standard dashboard for Business Travel Management can be used as a template for creating and maintaining your own dashboards for business travel, as well as reviewing compliance results.
Note, that this dashboard is configured to be shown on the 'Company' page and by default set to inactive. Please check this article for more information.
Things to Note
For PWN assessments, after the PWN Filing process has been started or marked as Filed, a Reference Number field will become available. This Reference Number will be displayed in the Travel Destination section on both the internal screen and the Mobility Manager widget.
