Creating a checklist template

Checklist Templates can be found at the System or Company level. In order for a user to access these screens, the user must have the appropriate security rights.      The System Checklist Templates

Checklist Templates can be found at the System or Company level. In order for a user to access these screens, the user must have the appropriate security rights.

The System Checklist Templates screen is found at the system/configuration level and shows all existing system checklist templates. The Company Checklist Templates screen level templates can be found by navigating to a company and shows all existing checklist templates both company and system checklist templates.

You can add and manage existing checklist templates can be maintained by clicking

Follow the steps to create a new Checklist Template:

1. Click

add button

to add a new template.

2. Select Defining a New Template and click

Note - it is also possible to create a checklist by copying an existing company/system template

3. Complete the fields on the Checklist Template Details screen. Required fields are marked (*):

  • Name: Name of checklist that will show on the internal Checklist Summary screen and is a mandatory field.

  • External Name: This will be shown as the Checklist Name on the Client portal, when any items are marked as a Milestone and Externally Viewable.

  • Description: Additional details of what the checklist does and will show on the internal Checklist Summary screen and is a mandatory field. This field supports Rich Text Format capabilities and has a maximum character limit of 2000 characters.

  • Level: Set to

    • <Assignment> if you want to create an assignment level checklist template
      or

    • <Company> if you want to create a company level checklist template

4. Click

save button

after filling out the required fields.

Note - the Level of the checklist cannot be updated once the checklist template has been created. Company level checklists will only appear on the Company Checklists screen, and assignment level checklists will only appear on the Assignment Checklists screen.

5.The following additional fields will be available for an assignment level checklist template:

  • Launch Checklist: Set to

    • <Manually> if you want the user to select the check box to start the Checklist when appropriate, or

    • <Automatically> if the Checklist should start based on a specific action in the system, such as an Assignment record being created.

  • User Report for Merging: When a user report is selected, allows the user report to be the merge data source when Merge Data Fields are used in the following fields:

    • Name

    • External Name

    • Description

    • External Description

  • Auto Complete Rule: Select from:

    • All required items are complete

    • All items are complete (not just required)

    • When last milestone item is complete

    • Never

      • If a value other than <Never> is selected, the checklist will automatically complete when the criteria are met.

Note - Checklist Templates are created as ‘Inactive’ regardless of whether created by defining a new checklist or copying an existing checklist. This ensures a Checklist Template cannot be used until configuration is complete. In addition note that an Assignment or Company Checklist cannot be created using an ‘Inactive’ Checklist Template.

The same additional fields are also available on a company level Checklist template.

Things to Note

  • Name, External Name, Description, and External Description fields support merge fields from the user report selected in the User Report for Merging field.

  • Merge tags must have a prefix of "&EQ_” and be added to the user report's field column caption values.

  • Column captions must be fully unique so that no merge tag can be found within another tag if matched using "start with" comparison, therefore it is recommended that column captions do not include spaces.
