Projects are created at the company level and can be assigned to Assignments/Relocations. Only one project can be assigned to an Assignment/Relocation and projects cannot have the same name.
The 'Projects' grid is located in the Company Configuration menu on the Companies tab.
Company Projects
To create a new project, click
in the header row of the Company Projects grid.
The project configuration screen contains the following tabs:
Details
The Details tab of the project screen includes project details, PE Risk, Contacts and Location. The details of the project configuration screen contains the following fields:
Active Status – a project must be Active to appear as a selectable project for an Assignment/Relocation.
Name – is the Project Name that will appear when selecting a project.
Description – is a useful description of the project to help users distinguish between projects.
Manager – is the manager for the project. Any system resource with company access can be selected as a manager.
Reference Code - is a identifier rather than name for use when referencing the project.
Status - the status of the Project.
Type - the type of Project.
Client Name - the client being supported for the Project
Cost Center - the the cost center responsible for Project related costs
Project ID - this will be created by the Equus Platform when the Project is first saved.
Number of Travelers – is the estimated total number of people that will be on the Project.
Award Date - the date on which the Project was awarded.
Budget Amount - the budgeted amount that was included as a part of the Project bid.
Budget Currency - the budget currency.
Start Date – is the estimated start date for the Project.
End Date – is the estimated end date for the Project.
Billing Company - the Company to bill for the Project
PE Risk
You can set the PE Risk of a project in the PE Risk Section
PE Risk Value - holds the calculated value for risk - defaults to N/A. This includes the user id responsible for the change together with date & time of the last calculation. If the calculation was automatic, the user id will indicate the Quick Workflow ID. The “View History” button that opens an audit history of the calculation of Risk, including value, date, user, process (manual or automated) and calculation method.
Default Rule - is a calculation method that derives the value from the default rule defined at company level.
PE Risk Value Override - sets the override value for the calculation. This lists the values present at the “Level” lookup maintenance screen.
PE Risk Rule Override - An override that utilizes Business Rules instead of the lookup fields. A default Business Rule can also be set up in the Project Risk Rule Defaults at the company level. It must have an output type of 'text' to map with the code or display value in the classification “Level”.
Project PE Assessment Status - The status of the risk assessment. Values can be customized in the Lookup Maintenance: Risk Status. This can also be used to display statuses in widgets
Click
to execute the risk calculation on demand for the Project.
Contacts
Project contacts can be specified under the Contacts section. Select the contact Type and Resource to populate the details. If not a resource, manual entry of name and email address is an option.
Note, you can only have one project contact type per project that can be marked as the ‘Tasks and Reminders contact.’ The assigned Task and Reminders contact will be the auto-assigned resource if any checklist items are configured.
Location
Project location should be stored under Location. Specify the following details:
City
State/Province
Country
Documents
Project specific documents are stored at the company project screen and will not be available at the Company Documents and Documents Library.
Notes/Communications
Notes and email can be created under the Notes/Communications tab of the project configuration screen. These can be used to store notes for a project or send notifications to project stakeholders.
Project Entitlements
Projects can use entitlements to determine its benefits and services for the included employees. Entitlements can store multiple data, and thus, can be configured in a way to be specific for certain relocation policies.
A new entitlement can be added by clicking on
in the header row, and an existing entitlement can be edited by clicking on
.
Fields which will appear on each entitlement can be created to store these data on the Project Entitlements tab through Custom Fields.
Enter the details for the entitlement field, and choose where it would appear on the edit and grid placements of the Project Entitlement screen.
Both the edit and grid placement sections should contain the same values for the column & row placements.
Once the "Show" tick box is checked in both sections, the custom field will appear on the project entitlement and edit entitlement screens.
A custom field validation is applied for project entitlements which will limit fields to a total of 4 columns on the edit placement or screen grid.
After the custom fields are configured, these can then store data for each entitlement that will be added for the project.
Checklist Header Control
The tasks from a company checklist that use a project field as a trigger can be viewed by clicking on
on the upper-right corner of the project configuration screen.
The checklist tasks will only appear on the Checklist Header Control if the "Page" field in the checklist line item of the checklist template is configured to redirect to the "Company Project" screen.
Things to Note
Access to Projects can be controlled via Project Security
A link to the project will be visible on the assignment screen, where a project is specified and if a user has the correct access rights to view Company Projects.
Custom fields for projects (PROJ_CF) will only appear on the Project Details tab of the projects screen.
Custom values can be added for 'Status' in lookup maintenance.
Company Project fields may also be used to trigger a checklist.
