Creating a company and adding company contact details

The company screen will display the companies configured to use the Equus Platform instanceClick the to create a new one  and click to manage existing ones on the Companies screen and check Company D

Company Details section

Note the fields that have an asterisk (*) before their caption is required.

Within the Company Details section, the following fields are available:

  • Active Status – Active, Process Only, and Inactive. Process Only will allow you to use it for processing but not assign to new assignments, this is an intermediary status to allow an item to finish out before it is inactivated.

  • Type – the application comes with two types, Domestic and International; however, the choices can be configured by the User on the Lookup Maintenance screen, Lookup Field = Company Type, on the Configuration Tab.

  • Short Name – the company name that is used most often

  • Number – a number users wish to assign to the company or new for system generated number. The field can be configured to be required and/or auto generate the number at all times.

  • Long Name - The company name used when creating a new assignment, sorting checklist items, creating Vendor Service Orders, Searching Service Orders, Employee Survey Batch, Vendor Company Performance, Vendor View, Destination Buyer/Renter on the Portal side.

  • Description - Description of the company to help users distinguish between companies.

  • Base Country – The Base Company is used for Cost Estimates & Currency True-up.

  • Default Country – The country selected from the drop down list will auto-populate the From Country and To Country fields in the Location Information section on the Assignment screen. The To Currency and From Currency will also be auto populated with the currency of the country selected in the Location Information section of the Assignment screen.

  • Base Currency - The Base Currency is the currency used for Cost Estimates & Currency True-up.

  • Use As Default Currency – This checkbox is unchecked by default. When checked, the base currency will be selected as the default currency for all assignments associated with the company.

  • Home Country Tax Estimator Override - Select an alternative Home Country Tax Estimator to be used for Cost Estimate and Compensation Calculations. This setting only takes effect in templates where the Home Tax Estimator Method is set to Company Home Tax Estimator Overrides.

  • Home State/Province/Canton Tax Estimator Override - Select an alternative Home State/Province/Canton Tax Estimator to be used for Cost Estimate and Compensation Calculations. This setting only takes effect in templates where the Home Tax Estimator Method is set to Company Home Tax Estimator Overrides.

  • Default Voucher Report – Used to select the Expense Report provided to employees who enter expenses via the Employee Portal. Currently, the only report available is the Expense Report Status.

  • Allow Policy Audit Edit on Voucher Expense Tab - This checkbox is unchecked by default. When checked, the ability to indicate/change the policy status at the Expense Entry tab without having to select View/Edit each line item is available.

  • Employees Surveys Allowed - This checkbox is unchecked by default. When checked, a user can send applicable surveys via email to the employee.

  • Maximum Survey Resends - The number of times users can re-send Incomplete surveys to employees of this company

  • Payment Terms – Used to select the payment terms arranged

  • Reimbursable Receivable Logic – If the Billing module is used, this will tell the system what logic to use to determine the amount and currency of reimbursable expenses to be billed.

    • Always Use Payment Amount and Currency

    • Determine Amount Using Billing Entity Currency – Requires configuration of Billing Entities.

    • Determine Amount Using Company Currency

  • Payroll Variance Threshold - Used to store a percentage payroll threshold in order to compare Compensation Worksheet line items and identify line items that exceed this variance

Integration Details Section

After clicking

. Click this to create a special user for the company, called an “Integration User”, that is used when exchanging data with clients via the Equus Platform integration. Clicking this displays the Integration Details and Integration Permission Sets sections.

The Integration Details section allows administrators to specify the Equus Hub ID for their company, which is used when exchanging data with clients via an Equus Platform integration.

The Integration Permission Sets section allows administrators to identify the Permission Sets for their company, which is used when exchanging data with clients via an Equus Platform integration.

Note: This section is only shown when the

Default Settings section

Defaults can be configured in the company. This can be configured to customize a company based on your process

Relocation/Assignment Screen

Within this section the following fields are available:

  • Allow Permanent Transfer – When checked, the option to select Permanent Transfer from the assignment screen will be enabled.

  • Allow International Assignment - When checked, the option to select International Assignment from the assignment screen will be enabled.

  • Allow Business Traveler - When checked, the option to select Business Traveler from the assignment screen will be enabled.

Note: At least one of Allow Permanent Transfer, Allow International Assignment, or Allow Business Traveler is required in order to save changes to the company.

  • Default Assignment – The default behavior for the Assignment/Relocation Details screen. An error “The selected Default Assignment must be allowed.” displays if the Default Assignment is NOT one of the assignment types selected above (Allow Permanent Transfer, Allow International Assignment, or Allow Business Traveler).

  • VIP Special Security Group – Allows administrators to automatically assign a VIP Special Security Group to any assignment for that company that has the VIP check box checked. This is an additional layer of security is available at the assignment level called “Special Security Groups”. When an assignment has a Special Security Group assigned, only users with rights to that Special Security Group can access the employee’s information. The choice list displays Special Security Groups created on the Special Security Group screen.

  • Default Currency – The Default Currency is the currency that will be used when assignments are created. When this field populated, by selecting the applicable country from the drop down list, the Default Currency field will be populated in the Relocation Details section on the Assignment/Relocation Details screen. An assignment’s default currency is used to populate a currency where applicable in the system. For example, a voucher amount that is being submitted for payment through the system. This voucher amount would have this default currency.

  • Cost Currency – The Cost Currency is the currency used when adding expenses and service orders. When this field is populated, the Cost Currency field will be populated in the Assignment/Relocation Details screen.

A default Business Rule can also be set up in the Project Risk Rule Defaults at a company level. It must have an output type of text to map with the code or display value in the classification “Level”.

Company Contacts Section

This section allows users to maintain contacts for the company. These may be contacts at the client company or contacts at the service provider. This section displays only after the Company has been saved.

to manage existing ones. Enter contact information from scratch or select a resource from the Resource Name field. If you choose to select a resource, the Contact Information and Address fields will disabled and this data will be pulled from the Resource record. The Resource Name drop-down list will only contain resources that are configured on the Resource screen to be associated with this company. If a Resource Name is not selected, the Name field is required.

  • Type: The list of values in the Type lookup field can be edited through the Lookup Maintenance This lookup field is named <Company Screen Contact Type>.

  • The Show On Portal checkbox is used by the team widget on the Company Portal Dashboard. If this checkbox is checked, this contact and their contact information will appear on the widget.

  • The Task and Reminders Contact checkbox if enabled will make the contact the "Task and Reminders Contact". Only one contact per contact type can be selected. If there is a contact of the same type with ‘Tasks and Reminders contact’ already checked when selecting another, a message will be presented notifying the user that only one can be selected per contact type:

Please Note: The team widget on the client dashboard is designed to display pictures of the contacts / resources. Pictures can only be uploaded on the Resource Detail screen. To utilize the picture functionality, create the contact as a resource and select their name from the Resource Name field.

Addresses

The Addresses section allows users to maintain Addresses for the company.
