Email Templates are used to default content into email communications for sending emails from the Equus Platform and notes that are commonly used for Service Orders. Email templates can only be used at an assignment level and are used when Email or Note is selected as the notes/communications type under these two types of notes/communications:

The default content can be customized by pulling data from the record you are adding a communication to. This is completed by first selecting either an Equus Standard Merge Data Source or a User Report as the Data Source and then using merge tags that are specific to the selected Data Source.

In addition, documents can be attached to email templates: Merge Documents and Static Documents. Adding merge documents allows for greater customization.

The email template must first be configured on the Email Template screen and be assigned to an Equus Platform screen and be active for it to appear in the Email Template drop down list.

This field only appears when Note or Email is selected as the Type on the Notes/Communications screen.

Things to Note

  • Learn more about creating and deleting email entries in the Notes/Communications screen here

  • Advanced Email Templates cannot be used for Note type communications

  • You can only preview email messages that use Advanced Email Templates

  • You can find more information on using the Advanced Mode editor for emails here

  • If deleting a template, you will need to remove the screen association by clearing “Make this template available on communications launched from the following screens." Navigate to the Quick Workflow Details page and ensure the Email Template is deselected from all QWFs. Once both the screen association and QWF references are removed, the Email Template can be deleted successfully.
