Configure an automation trigger for quick workflows

A Quick Workflow (QWF) can be used to trigger or call a stored procedure/custom code that will allow you to populate other fields or make updates to other areas within the Equus Platform. This feature can assist in automating your processes and eliminate manual updates users may perform in Equus Platform.

When creating a new QWF, there are a number of processes available to select from on the Automation tab on the Quick Workflow Details screen.

Note that the list of processes available is dependent on the value selected in the Quick Workflow's Data Type field.

  • Advanced Automation - runs an import based on criteria selected from a user report

  • Calculate Tax Service Eligibility - creates tax service eligibility records for a specific year and country from a configured company rule

  • Create CDR Entries - creates multiple Compensation Data Repository (CDR) entries for the Line Item Names from a user report

  • Create CDR Entry - creates a single CDR entry of the selected Line Item Name

  • Create Election Set - creates an Election Set of the selected template type

  • Create Election Set and Publish - creates an Election Set of the selected template type and then automatically publishes the Election Set to the Mobile Employee Experience (MEE)

  • Create Service Order - creates a service order of the selected service order type

  • Create Service Order and Send - creates a service order of the selected service order type and sends it to the selected vendor

  • Media Delivery Event - sends selected media Help Media files to the MEE

  • Start Approval Routing - starts the approval routing process for approval routing rulesets where the Type is equal to Mobility Record

  • Send Pulse Check to Employee - sends selected pulse check of the selected Pulse Check Template to the MEE

  • Calculate PE Risk Assessment - creates an PE Risk Assessment for the Project (Note: This is only available if Data Type is Company and Data Source is Project)

  • Travel Destination Assessment - Issues a request for Travel Destination Assessment as soon as the Travel Destination is created on an assignment.

  • Posted Worker Directive - Initiates a posted worker directive

In special cases, if the QWF has been configured to call a customized stored procedure, this will appear on the Automation tab and the Take Action, Trigger, Data Type, Data Source, and Target Field fields will be disabled and cannot be changed unless the customized stored procedure is inactivated. For additional information on using this feature please contact your Equus representative.

Things to Note:

  • When using Advance Email Template within a QWF, if you have automation in the same QWF you need to make sure to select user report under the Merge Option before selecting an Email Template

  • When using automation like ‘Creates a Pulse Check and sends it to the Employee’ in a QWF or other automations where you can use Merge Tags, the user report in the Merge Options section of the QWF must be selected first before you select the Email Template.
