The content of an email template can be customized by selecting a User Report and using merge tags with the email template body.

It is important that the selected User Report will need to contain fields for the necessary level of detail needed. For example, using the report for an assignment communication, the Assignment ID must be added as a filter (ASSIGNMENT!ID).

The filter can be set to any value but it must be set to prompt. This allows the system to pull the Assignment ID from the record you are adding a communication to. Similarly, the report for a service order communication will need to include a Service Order ID (SERVICE_ORDER!ID) as an input parameter and be set as a prompt.

It is possible to have multiple prompts. For example, in a scenario where the Service ID and its associated Assignment ID are required, the input parameter fields are: SERVICE_ORDER!ID and ASSIGNMENT!ID (and not SERVICE_ORDER!ASSIGNMENT_ID).

Things to Note

Below is a list of fields that can ONLY be used as filters for user reports for email templates (including the email content and any attached merge documents) that are used as the Service Order Type default email template for the "Create Service Order and Send" automation process in a Quick Workflow.

    • ASSIGNMENT!ID

    • EMPLOYEE!ID

    • COMPANY!ID

    • SERVICE_ORDER!ID

    • PROJECT!ID

    • VENDOR!ID

    • VENDOR_CONTACT!ID
