An Assignment Compensation Worksheet can be used to instruct payroll of changes to an assignee’s pay.

Creating an Assignment Compensation Worksheet Template

A Compensation Worksheet Template is generally used to define an employee’s recurring payment items. Each assignment that needs to be included for payroll processing must have a Compensation Worksheet Template set up. The template is made up of line items which represent different types of payments or deductions. An Assignment Compensation Worksheet can be created from scratch or can be created by copying a predefined template of line items set up at the company level. Line items included in templates can be configured with calculations or can be overridden to store fixed values.

To create an Assignment Compensation Worksheet Template:

  • Navigate to the Compensation Worksheets screen

  • Click

    to create a template.

  • Select either “Copying Existing Template” or “Defining A New Template”

    • If copying existing, select the appropriate option from the ‘Template to Copy From’ field

  • Click

You will then be taken to the new Assignment Compensation Worksheet Template Details screen. Most of the information displayed on this screen will already have been obtained from the assignment record and should not need to be altered. If you do see information that is incorrect, delete the template, correct the data in the assignment record and then begin the process again to create a new compensation worksheet template.

Here are some key fields you should pay attention to:

  • Exchange Rate Method – This field will allow you to override the exchange rate between the home and host country if necessary.

  • Start Calculation Period and End Calculation Period – Setting these values will ensure that your assignment will not be included in payroll outside of the pay periods you have selected. This is useful when setting assignments up in advance or ensuring that an assignee does not get included in payroll after they have repatriated.

  • Notes – Any notes entered here at the template level will be replicated in the Effective Compensation Worksheets in each pay period. This is useful for any recurring notes on general information about the assignment you wish to always be shown on payroll documentation.

Line Items

Toward the bottom of the screen, you will see the Compensation Worksheet Line Items section.

New line items can be added to the template by clicking

You will be taken to the Assignment Compensation Worksheet Template Line Item Details screen.

  • Select the new ‘Line Item’ from a list of available line items in the system.

  • Select the ‘Calculation Method’ from:

    • Calculate (Home Currency)

    • Fixed Amount in Home Currency

    • Fixed Amount in Host Currency

      • If entering as a fixed value, set the ‘Fixed Home Amount’ allowance value

  • Set the Payment Instructions (i.e. how should the money be delivered to the assignee).

  • Finally click

Creating an Effective Compensation Worksheet for Pay Instruction

Effective Compensation Worksheets define an employee’s pay for a given pay period. They are normally made up of recurring and one-time payments or deduction line items. The effective worksheet is generated from the Assignment Compensation Worksheet Template and should replicate the configuration of the template when created.

Users can alter the effective worksheet to define the pay for the assignee for that period (e.g. by adding any one-time payments or adjusting recurring line items). Once the updates are complete, the values stored within this screen are then used to generate payroll instructions.

Note - Effective Compensation Worksheets can be run via a batch process at the company level.

To create an effective compensation worksheet:

  • Select a pay period in the ‘Calculation Period’

  • Click ‘New Effective Comp Worksheet’

You will be taken to the Compensation Worksheet Details - Effective screen. As most of this information is inherited from the Assignment Compensation Worksheet Template you will not need to change much of the information. Toward the bottom of the screen, you will see the line items inherited from the template.

To add a new line items to the effective worksheet, click

You will then be taken to the Compensation Worksheet Line Item Details - Effective screen.

  • Select the new ‘Line Item’ from a list of available line items in the system.

  • Select the ‘Calculation Method’ from:

    • Calculate (Home Currency)

    • Fixed Amount in Home Currency

    • Fixed Amount in Host Currency

      • If entering as a fixed value, set the ‘Fixed Home Amount’ allowance value

  • Set the Payment Instructions (i.e. how should the money be delivered to the assignee).

  • Finally click ‘Calculate & Save’

Once you have completed making your changes to the effective worksheet, depending on your instructed payroll process you may be required to set the worksheet status to Ready for Processing.

To do this:

  • Locate the Transaction Processing section

  • Select the “Ready for Processing” from the ‘Transaction Process Status’ field

  • Click the ‘Save & Process Transactions’ button

The ‘Transaction Process Status’ field will be updated to Complete. Your worksheet is now ready to be included for payroll.
