An important part of any assignment is receiving confirmation from the employee that they agree and understand the terms involved. These terms are typically provided in the form of an Assignment Letter; see Creating and Issuing an Assignment Letter for further details.

There are two ways an employee-signed assignment letter can be entered into the system.

The first method requires that the Assignment/Relocation Coordinator receive the signed letter from the employee via email and uploading the document to the Platform using the process outlined in the Uploading Documents section. Typically, there will be a specific document Type identified for a signed assignment letter (see example below). If your company has created an automatically completed checklist task for this action, it is very important to select the correct document Type.

Note: Security for document types can be set up so that uploaded documents will only appear on certain pages. Security can also be set up to restrict which users have access to the documents.

The second method for uploading the employee-signed assignment letter is for the employee to take the action. This method mirrors the Assignment/Relocation Coordinator process but removes the need for the employee to first send the letter via email. One challenge with this is that, as previously stated, it is very important that the correct document Type be selected when uploading the document to ensure that any checklist tasks are completed automatically. Email notifications that alert the Assignment/Relocation Coordinator when documents are uploaded can also be configured.
