Note: Required fields are indicated with an asterisk (*).

Assignment Details Header

System Number: This is the automatic system-generated unique identifier for the assignment. It can be used when searching for an assignment and for reporting purposes.

Inactive: Clicking this box moves the assignment to Inactive status. Assignments can no longer be edited in this status and will not appear in standard assignment searches. This is tied to license usage.

Mobility Type Banner: This is tied if a mobility type is configured on the policy

Company Information

Segments 1-4: These fields can be used to define divisions or sections of a company. They are hierarchical – the subsequent dropdown list will populate based on the selection of the field above it.

  • From Segments: These are the employee’s Home company details.

  • To Segments: These are the employee’s Host company details.

Active for Billing: This allows you to select whether the billing for the assignment will be allocated to the From Location or To Location company.

Assignment Details

Permanent Transfer: The selection of this option identifies the assignment as a one-way relocation, which impacts a variety of other activities in the system, such as Cost Estimates.

International Assignment: The selection of this option identifies the assignment as a two-way (home to host to home) international assignment and results in the appearance of additional International Assignment Details fields as well as a few additional Location Information fields.

Business Traveler: The selection of this option identifies the assignment as a short multiple business trip. If the assignment is for a <Business Traveler>, the page will displays significantly fewer fields. For example, there is only one set each for Company Information, Employee Identifier, and Position Information fields, and some of the fields within the Relocation Details section have been removed. However, there is one additional field within the Relocation Status section – Travel Phase. Also, a Destinations section is available to track one to many destinations for the business trip.

Assignment Type: This field allows you to select the type of assignment. Common examples of assignment types are: Short Term, Expatriate, Localized, Permanent. This field is required.

VIP: Checking this box allows you to identify that this assignment requires an additional layer of security (see Special Security Groups for additional information).

Assignment Reason: This field allows you to select the reason for the assignment. Common examples of assignment reasons are: Transfer, New Hire, Non-Relocation

Homeowner: This allows you to identify if the employee is a homeowner. It may impact further activities relating to home sale.

Assignment Policy: This field identifies what assignment services will be provided to the employee for this assignment. Common examples of assignment policies are: Long-Term Assignment, Permanent Transfer, Short-Term Assignment. This field is required.

Assignment Coordinator: This field allows the selection of the internal Assignment/Relocation Coordinator responsible for managing the assignment.

Accounting Coordinator: This field allows the selection of an internal team member responsible for assignment-related tasks.

Default Currency: This field shows the default currency for the assignment. This field is required.

Assignment Effective Date: This field indicates the date the assignment will be effective to begin processing.

Services Authorized Date: This field will auto-populate based on the date policy services for the assignment are authorized (see Authorizing Services for additional information).

Start Date: This is the anticipated start date of the assignment.

Group Name: This allows you to indicate if this assignment is associated with a group move

Assignment Status

Note: This section will only appear for international assignments.

Assignment Status: This field indicates the status of the assignment. Common examples of assignment status are: Active, On Hold, Complete, Cancelled, Archived. This field will update automatically based on the completion of the additional fields in this section.

On Hold Until Date: This field places the assignment in On Hold status until the date indicated.

On Hold Reason: This field identifies the reason the assignment has been placed on hold. Common examples of On Hold Reasons are: Employee Requested, Client Directed.

Cancel Date: This field places the assignment in Cancelled status as of the date indicated.

Cancel Reason: This field identifies the reason the assignment has been cancelled. Common examples of On Hold Reasons are: Employee Cancelled, Leave of Absence, Separation, Authorization Inactivity.

Complete Date: This field places the assignment in Completed status as of the date indicated.

Archive Date: This field places the assignment in Archived status as of the date indicated. It will not be searchable in this status.

International Assignment Details

Note: This section will only appear for international assignments.

Home Country Departure Date: This field identifies the date the employee has departed his/her home country.

Host Country Arrival Date: This field identifies the date the employee has arrived in the host country.

Host Country Departure Date: This field identifies the date the employee has departed the host country.

Scheduled End Date: This is the anticipated end date of the assignment.

Extended End Date: This is the new anticipated end date of the assignment if it has been extended past the original scheduled end date.

Actual End Date: This is the date the assignment officially concluded.

Assignment Length (in months): This field allows you to track the monthly duration of the assignment. It does not auto-populate.

Assignment Phase: This field allows you to identify what phase the assignment is in. Checklists and automated communications can be triggered based on this field. Common examples of Assignment Phases are: Candidate, Pre-Assignment, On Assignment, Repatriating, Completed. This field is required.

Family Status: This field allows you to indicate if the assignee is accompanied or unaccompanied during the move.

Mentor Name: This field allows you to identify mentor name if any.

Dual Career Move: This checkbox indicates if the assignment needs to be tied to another employee’s assignment. Checking this box will allow the Dual Career Type and Linked Assignment ID fields to become editable.

Dual Career Type: This field allows you to indicate the type of linked assignment. Common examples of Dual Career Types are: Leading, Trailing.

Linked Assignment ID: This field allows you to identify the assignment this assignment should be linked to.

Assignment Contacts

This section allows you to add multiple contacts to the assignment. Clicking on the plus (‘+’) icon will result in a new screen in which to provide the details of the contact.

Business Traveler

If the assignment is for a <Business Traveler>, the page will displays significantly fewer fields. For example, there is only one set each for Company Information, Employee Identifier, and Position Information fields, and some of the fields within the Relocation Details section have been removed. However, there is one additional field within the Relocation Status section – Travel Phase.

Travel Phase – where the record is in the business process. The drop down list is pre-populated with Pending Clarification; Pending Immigration and Tax; Pending Tax, Cleared Immigration; Pending Immigration, Cleared Tax; and Clear for Travel. The list can be changed by the user in the Lookup Maintenance page on the Configuration tab.

Also, a Destinations section is available to track one to many destinations for the business trip. This includes the following fields:

Country: This indicates the destination country.

State/Province: This indicates the destination state/province if applicable

City: This field allows you to enter the destination city.

Start Date: This indicates the start date.

Original Start Date: This indicates the original start date when changes are made

End Date: This indicates the end date.

Original End Date: This indicates the original end date when changes are made

Prior Days At Destination: This indicates the number of days at the destination prior the business trip.

Planned Future Days At Destination: This indicates the number of days at the destination after the business trip.

Trip Primary Purpose: This indicates the purpose of travel, helps with business travel assessment

Senior executive or higher: Checkbox to confirm seniority

Your role directly contributes to the company's main products/services: Checkbox to confirm role description

Right to work in this location: This indicates if employee has the proper documentation to work on destination location

Working Days: Tickbox to confirm which are the working days in a week

Number of visits in the last 12 months: This indicates the number of times the employee visited the location

Location Information

From Country: This indicates the home country of the employee.

To Country: This indicates the host country of the assignment.

From State/Province: This indicates the home state/province of the employee. It will auto-populate based on the From Country selected.

To State/Province: This indicates the host state/province of the employee. It will auto-populate based on the To Country selected.

Select City: These fields are available to provide a list of cities, but are typically not used.

From City: This field allows you to enter the home city of the employee.

To City: This field allows you to enter the host city of the assignment.

From Currency: This field indicates the home currency of the employee.

To Currency: This field indicates the host currency of the assignment.

From Payroll System: Indicates the home payroll system for the employee. Options in this list may include any payrolls set up in the Equus Platform system for the company. This field is only available for international assignments.

To Payroll System: Indicates the host payroll system for the assignment. Options in this list may include any payrolls set up in the Equus Platform system for the company.

Primary System: Selection of this checkbox (under either the From Payroll System or To Payroll system) will indicate which system to use when processing payroll activities. These fields are only available for international assignments.

Home Tax Filing Status: indicates the tax filing status of the assignee based on their preference and their home country. Values for this field might include but are not limited to Single, Married, Head of Household, etc. The value chosen here will be reflected on cost estimates and compensation calculations that are processed for the assignment.

Host Tax Filing Status: indicates the tax filing status of the assignee based on their preference and their host country. Values for this field might include but are not limited to Single, Married, Head of Household, etc. The value chosen here will be reflected on cost estimates and compensation calculations that are processed for the assignment.

Location Information Section

Frontier Worker details can also be stored. These are the Frontier Worker related fields:

  • From Work Country indicates the employee's work country prior to assignment. This country can be defaulted for all assignments by selecting the appropriate country in the Default Country field on the Company Details page.

  • From Work State/Province is the field primarily used for Cantons if Switzerland is the Work Country. Cantons may be preloaded and available in the dropdown list. Users can adjust the contents of the dropdown list on the Countries page on the Configuration tab.

  • From Work City is the field for cities. If no cities are preloaded in the dropdown list, users can adjust the contents of the dropdown list on the Countries page on the Configuration tab. Note City can be entered freeform in the From City field

  • From Work Currency will default to the base currency for the From Work Country selected. You can either type in the currency code or use the find button to launch the Select Currency search page. This is used as the From or Home currency in currency conversion such as Expense Reports and Cost Estimates.

  • Use As Default From Currency is selected to use the work country’s base currency as the home country currency in Compensation Calculation or Cost Estimates calculations, i.e. only one home country currency is available.

Employee Identifiers

This section allows for the documentation of a variety of employee identification numbers. Field labels can be renamed. “From” fields indicate the home location of the employee and “To” fields indicate the host location for the assignment. Available fields are: Employee ID, National ID Number, Social Insurance ID, National Tax ID, and Payroll ID.

Note: Only the “To” identifiers will appear for Permanent Transfer assignments.

Special Security Groups

This section allows you to identify special security for the assignment so that only users with that security access will be able to view the assignment. Clicking on the

new

button will result in the appearance of a list of security group to select from. An assignment can have more than one security group identified. This is useful when the VIP option for an assignment is used. More information on how to add a special security group here.

Access Groups

This section allows you to allocate access groups for the assignment so that users with the same access group will be able to view the assignment. Clicking on the

new

button will show a list of access group to select from. An assignment can have more than one access group identified. This can provide access to specific group of users. More information on how to add access group here.

Position Information

Former Title: This is the employee’s home country title.

New Title: This is the employee’s title while on assignment.

From Salary Grade: This is the employee’s home salary grade.

To Salary Grade: This is the employee’s salary grade while on assignment.

Supervisor Name: This is the employee’s supervisor. It can be used for either home or host.

Offer Salary: (field hidden by default) This is the expected salary the employee will be paid while on assignment which needs to be provided to the immigration authorities of the host country. This a money field and when an amount is entered but no currency, the currency is populated with the default currency of the Assignment.

This sections control when an assignment will be deleted in the system.

Delete After Date: This is will determine when the assignment will be deleted
