How to configure additional resource roles for use in the system

There are 30 Assignment Additional Resource fields that are available to appear on the Assignment Screen and 30 Authorization Additional Resource field that are available to appear on the Authorization screen. These additional resource fields allow clients to identify a greater number of resources linked to an assignment. All fields are available for use on User Reports, Checklists, Quick Workflows.

By default, the fields are hidden. To use any of the 30 additional resource fields, the field can be made visible via data dictionary metadata override (DDMO) or Authorization Profile Override.

Assignment Additional Fields

Using the configuration search, navigate to the Data Dictionary Fields Overrides screen. Click on the pencil icon besides one of the assignment additional resource role fields. There are 30 to choose from and they start with "ASSIGNMENT!ASSIGNMENT_ADDTL_RESOURCE".

Populate the Caption field with the field name of the resource role and select <Yes> from the Is Visible drop down list. Press [Save] and then press [Clear Cache] for the changes to appear on the Assignment Screen.

Once the Assignment Additional Resource Role field is added, it appears in the Additional Resources section on the Assignment screen. Click the "Edit Assignment" link on the Assignment screen to make changes to the screen including selecting a value for the newly added Immigration Coordinator field.

Authorization Additional Fields

It is recommended that updates are made on both the Data Dictionary Fields Overrides and Authorization Override Profile screens for the field to appear on the Authorization screen and to take advantage of all the field settings e.g. locking on import.

On the Data Dictionary Fields Overrides screen, navigate to the second page and click on the pencil icon besides one of the authorization additional resource role fields. There are 30 to choose from and they start with "AUTH_STAGE_ASSIGNMENT!AUTHORIZATION_ADDTL_RESOURCE".

If additional resource roles are used at an assignment level use the same caption name when configuring the associated authorization additional resource role with the same number. In this example, "Immigration Coordinator" is used for both ASSIGNMENT!ASSIGNMENT_ADDTL_RESOURCE1_ID and AUTH_STAGE_ASSIGNMENT!AUTHORIZATION_ADDTL_RESOURCE1_ID fields. Using the same caption name allows the correct values to be copied from one record to another:

  • Authorization Additional Resources will copy to the assignment's corresponding fields when the assignment is created or updated after final approval is granted.

  • Assignment Additional Resources will copy to the authorization's corresponding fields when an authorization is created from an assignment.

Select <Yes> from the Is Visible drop down list. Press [Save] and then press [Clear Cache] for the changes to appear on the Authorization screen.

Next, add the additional authorization resource field to an override profile on the Authorization Override Profile screen at the company level. Click on the pencil icon to view and edit the profile.

To add the field, click on the + icon in the Overrides grid.

Select "Auth Stage Assignment" from the Data Source field. Select a "Addtl. Resource#" value from the Data Field drop down list. If additional resource roles are used at an assignment level, select the value with the appropriate number and use the same name in the Caption field. Select <Yes> from the Is Visible drop down list. Press [Save] and then press [Clear Cache] for the changes to appear on the Authorization screen.

Once the Authorization Additional Resource Role field is added, it appears in the Additional Resources section on the Relocation tab of the authorization template.
