How to create and view assignment level tasks as an internal user

Internal users viewing the Equus Platform Task and Reminders screen can see tasks created by internal users as well as those created by the employees on the Mobile Employee Experience (MEE). By default, the Assignment Tasks & Reminders Summary grid shows only incomplete tasks.

When the Show Completed Reminders checkbox is ticked, the screen refreshes to show all tasks. Note that tasks with no "Assigned To" value are tasks created by the employee in the MEE.

To create a new task, navigate to the assignment for which you want to want the task to display and click Tasks & Reminders menu item. Click on the + icon in the grid.

Enter the following:

    • Name – the title of the task.

    • Description – the descriptive text instructing who the task is assigned to what they need to do

    • Due Date – the date the task is scheduled to be completed by

Click [New] in the Assigned To grid to display the Assigned To choice list.

You can select any additional resources in the Equus Platform to be notified of this task by clicking the [New] to display additional row(s). To assign the task to the employee, enter the name of the employee in the type ahead drop down list. The employee name will appear with "Employee - " as a prefix e.g. "Employee - Arthur Curry". When tasks are assigned to employees, tasks appear in the Tasks areas on the assignment home page and in the All Tasks timeline.

If you wish to send an automatic reminder to the Assigned To Resource(s), tick the Automatic Reminder to Resources checkbox. This is optional.

When ticked, an email notification is automatically sent to the resource on the date of task creation.

    1. Remind (xxx) Day(s): Indicates when to email the resource based on the Due Date.

    2. Due Date if Not Complete: Indicates when an email reminder must be sent to the resource based on the due date. List items are <Before> and <After>.

    3. Remind: This field, in conjunction with Days(s) Until Complete, allows users to specify whether the e-mail reminder is a single reminder, or a recurring one.

  • Specify <Once> to send a single e-mail.

  • Specify <Once Every> to send recurring e-mails. Use this in conjunction Day(s) Until Complete.

  1. Day(s) Until Complete: Indicate how often (number of days) the recurring e-mail should be sent.

  2. Remind Relocation Coordinator: When yes, includes the Relocation Coordinator in the e-mail.

  3. Remind HR Contact: When yes, includes the HR Contact in the e-mail.
