What is Advanced Automation?
This feature allows for an import to run automatically from a Quick Workflow (QWF) trigger in the system. The import is run based on values passed from a selected user report when there is change to a field or a date in Assignment and when the QWF conditions are met.
The main benefit of using this feature is to increase data entry automation by eliminating the need to manually enter or import data into the system.
Examples of using Advanced Automation
Example 1
Updating values when actions occur. For example, recalculating the assignment duration when the extension/end date changes; updating the assignment phase when the assignment start date passes and recalculating the family size when dependent status changes.
Example 2
Calculating and updating values where lookups are required. For example, deriving a COLA location from a mapping table and saving the location in the assignment screen for reference.
Example 3
Moving data from A to B. For example, copying grade to a history table each time the field is updated; creating and filling a package batch.
Key configuration steps to using Advanced Automation Process
1. Create an import user report. The output of the user report feeds its results into an import. The following eight imports are supported. Imports with an asterisk(*) require input parameters.
2. If using an import that requires input parameters, create a parameters user report
3. Create Quick Workflow using the Advanced Automation option on the Automation tab.
