Invoice Auditing

Audit invoices received from vendors. Automatically approve or reject, or provide your team with a recommendation and allow them to make the final decision in the new auditing screen.

Company Level Tasks & Reminders

To manage recurring company level processes, such as loading new exchange rate data, or actions for pay review. The updated screen allows you to create company level tasks and reminders and remind specific resources, with the task appearing in their tasks and reminders widget.

XLSX files are here

Output in the latest excel XLSX format. This means smaller files which can contain more data. Plus, the file type warning message when opening an excel download has been erradicated.

AssignmentPro API

The first release of our new API framework, making it easier to connect AssignmentPro to your other apps. The first out of the box API is available for AIRINC data and more will be coming. If you have a specific API need, let [email protected] know.

Other Features

AssignmentPro API

AssignmentPro now supports integrating with other systems by leveraging a new industry standard API. Equus will be shipping additional API capabilities in forthcoming releases, which can be configured using the enhancements described here.

  • The API Subscription Manager screen allows API Subscribers to be created, and opt into the standard APIs that will be delivered by Equus.

  • Each API Subscription will have an associated standard Permission Set to govern the actions a Subscriber is allowed to complete when subscribed to that API.

  • To keep traffic to the API secure, each request made against it will require a valid JSON Web Token (JWT) for authentication. For a JWT to be properly built, a GUID and Secret Key will need to be generated for an API Subscriber.

  • Additional technical details about authentication and API specific documentation can be made available for technical teams.

For clients using AIRINC data, a new Equus delivered API has been created that enables streamlined receipt and management of that data. This capability is built into AssignmentPro, and includes an update to the Compensation Worksheet Data Provider Data screen to allow the review of data sent by AIRINC over the API. Use of this feature requires an AIRINC subscription.

Assignment Documents

  • For documents that support deletion from the Assignment Documents screen, multiple documents can now be selected and deleted at once.

  • The Assignment Documents list always shows column headers for easier navigation. Not supported in Internet Explorer.

  • After adding or removing columns in the documents list, the user’s preference is retained for when they next visit the screen. A new link exists to reset to default columns.

  • Fixed an issue where edits to documents in the “Other Documents” section would not show immediately in the list.

  • Fixed an issue where the Help Center access agreement could not be accepted if accessed from the Assignment Documents page.

  • Fixed an issue where User Page documents would not show unless there is at least one other Assignment document.

Authorizations

  • Fixed an issue where a record on the Spouse Custom Fields table was created even though the authorization checkbox "No Spouse/Domestic Partner" was checked and saved. This had caused a blank row on the Visa/Work Permit Request screen and the heart icon of the spouse to be visible on the MEE with no data.

  • Fixed an issue related with the Custom Prompt Requests data on Authorizations, where fields from the type boolean or lookups where not rendering the information correctly, only the internal codes.

Company Segments

  • Inactive Company Segment Lookups are no longer selectable on the Assignment Overview page.

  • On the Segment Maintenance grid (Company Level Segment Lookup screen), it is now possible to see and edit the status of a specific segment directly without the need to go to the details page.

Cost Estimates

  • Added the following fields for all years of the cost estimate to the Tax Estimator Calculation Details (View) to provide additional reporting information from the Cost Estimate Calculation Details:

    • Home Actual Tax Fed Year #

      • Add for years 1 – 6

    • Host Actual Tax Fed Year #

      • Add for years 1 – 6

    • Home Actual Marginal Rate Year #

      • Add for years 1 – 6

    • Home Hypo Marginal Rate Year #

      • Add for years 1 – 6

    • Fixed an issue where the user would receive a generic error message when calculating a Cost Estimate or Compensation Calculation for an unsupported country. The error message for an unsupported country will now display “A country in this calculation does not have a tax calculator and is not supported.”

Employee Requests & Exceptions

  • Two new request statuses have been created:

    • In Progress - allows internal users to place a request in a staging area between the request submittal and an additional action.

    • Complete – an alternative status to ‘Approve’, to fit request types that do not need approval but need to be shown to be completed.

  • Fixed an issue where the help-text field on the Request Type was being lost on the configuration screen when selecting a user table or checking "is a situational request".

Import Data

  • A new fixed header import has been added to allow insert and update of Company Tasks and Reminders

Invoice Auditing

A new automated expense auditing feature uses rules to reduce manual work involved in validating expenses.

  • A new company level configuration screen has been created to manage the expense audit engine, configure expense audit rules and define automation behaviors.

  • A new company level screen has been created to allow users to review and action audit results.

  • Bulk approval and rejection of invoice expenses is available.

  • Dynamic routing of approvals to specific resources in order to complete review process.

  • The status of approved invoice vouchers can be automatically updated.

  • A new dashboard is available providing users with a 360Âș view of the invoice expense management process.

  • Background service added to automatically add new and unaudited expenses into the audit process.

Landing Experience

  • Widgets backed by user reports can now be added to the Landing Experience Dashboard.

  • The Open Initiations widget has been modified to show all in-progress Authorizations. It is no longer dependent on the presence of an active Assignment.

  • A new Standard Widget exists called “Authorization Template” that lists all active Authorization Templates for the company and allows users to start an Authorization with one click.

  • Dashboard Name, Title, Description and default number of hours to cache widget data can now all be modified. Currently, only one dashboard is supported.

  • Multiple performance improvements have been implemented to make searching, sorting, and navigating faster within widgets when using large data sets. Clients with very large data sets can see up to a 25x improvement.

  • New loading animations exist in widgets with data tables to better communicate widget behavior.

  • A technical change to field names has been made to the Landing Experience Widget table.

  • Moving widgets no longer highlights text on the screen.

Mobile Employee Experience

  • The value displayed on the Expense Reports card now contains only the approved amount (sum of the approved expense entries), when a voucher is Approved. Similarly, the Expense Report Details screen shows the Approved Amount.

  • Fixed an issue when clicking "Save" multiple times in quick succession in the MEE would add multiple records to a custom field table.

  • Fixed an issue where MEE Checklist Items did not always appear on the timeline when the server and user’s browser timezones conflicted.

Move Management

  • The Household Goods "Authorized Weight", "Weight Estimate" and "Actual Weight" fields, on the Move Management screens (Service Request Information and Move Details screens) are now decimals instead of integers. This means the fields can now can support weight fields with decimal places, which brings more user flexibility and facilitates better integration through the Equus Ecosystem.

Payroll Reporting

  • New file extension available “Excel (.xlsx)” on the Payroll System Configuration.

System Usage

  • Batch License Use can now be applied to assignments based on the results of a user report. The user report needs to have a column captioned “Assignment ID.” This is in addition to the existing select by Company and Create Date options.

Tasks and Reminders

  • The Company and User Tasks & Reminders screen layout was updated so field placement and section headings are consistent with Assignment Tasks & Reminders.

  • Company and User Tasks & Reminders conditional logic was added to allow a user to include or exclude a Reminder for the assigned resource(s).

User & Production Reports

  • New run option to run files as excel .xlsx files. On User Reports this option is called “Excel” and on Production Reports it is named “Excel (.xlsx)”.

  • New run option to produce user reports in CSV file format.

  • New User Report export option for CSV file type export.

  • New “Excel (.xlsx)” and “CSV” file export options on the Report.

  • Re-organized the naming of the run options on the system reports page, where:

    • Excel: outputs a file with the new .xlsx extension;

    • Excel (.xls): previously “Excel Formatted”

    • Excel Data (.xls): previously “Excel Data”

  • Previously, when “Excel Data (.xls)” was run, Microsoft Excel would prompt a warning message “The file format and extension don’t match”. This has been fixed.

  • A new system preference has been added with the code RPEXCDTHTM, that allows the system to roll-back to the original version of excel outputs. In some cases, this may be needed if the excel data file is used to output HTML.

Vendor Integration

  • Fields that represent Boolean choices, such as “Yes or No” or “True or False” now have additional options available for the value that is sent to a Vendor when configured in a push script or event definition.

  • Certain columns on the table that stores event information for when services are ordered from a Vendor, or updates are sent back, will now be periodically cleared when the records are over 30 days old.

  • Fixed an issue that impacted AssignmentPro vendors receiving the Rent Per field from a Temporary Living Detail record.

  • Fixed an issue that impacted certain Vendor Updates from associating to a service order on the Event History screen.

Widgets/Dashboards

  • Fixed an issue with the Resources & Tasks widget on the External Client Portal, when the "dashboard" menu was clicked with the context of the assignment, the tasks presented were the ones under that assignment and not the tasks associated with the logged user.

  • The Tasks and Notifications widget will now display Company and User Tasks and Reminders.

  • Fixed an issue with the Tasks and Notifications widget when too much data is returned.
