Portal Announcements - How to configure an announcement set and/or item

Announcement Sets are used to convey important and/or timely information to portal users such as Vendors and External Employees. Within an Announcement Set, it is possible to have one or many Announcement Items.

Announcement Sets can be created, edited and deleted using the Portal Announcement Set screen found at the Configuration level.

Creating Portal Announcements

To create a new announcement set, click the

plus icon

. Specify how to create the announcement set. Select one of the drop down values from the Create A New Announcement Set By field:

  • Defining A New Announcement Set - when this is selected, populate the Name field

  • Copying An Existing Announcement Set - when this is selected, populate the Name field and select from the drop down list of the Announcement Set To Copy field. This displays all of the sets in the system.

to save the changes.

Managing Portal Announcements

To edit or view an existing announcement set, click the

pencil

. If the Announcement Set is to be displayed in the Vendor portal, tick the For Vendors checkbox. Click

save button

to save any changes.

Announcement Items

Create the announcement item by clicking on the

plus icon

sign. The Announcement Item Details section, appears in the Portal Announcement Set Maintenance screen.

The following fields are available to populate:

  • Starts On: The date the announcement item starts showing to users. Required field

  • Expires On: The date the announcement item stops showing to users.

  • Welcome Announcement: The announcement item is identified as the first one to show, if more than one displays. Only one Announcement within an Announcement Set can be set as the Welcome Announcement. The Welcome announcement will display on the Announcements page just as any other announcement; however, if the Welcome Widget and Announcements Widget are being used on the dashboard, this indicator will include the announcement on the one widget (Welcome) and exclude it on the other (Announcements).

  • Do Not Show in Archives After Expiration: When an announcement item expires, it can still be seen in the legacy Employee Portal and HR Portal when Show Archived Announcements is selected. Setting this to true will hide the Announcement in the archives.

  • Announcement Header: The title of the Announcement and is a required field. This field supports HTML.

  • Announcement Body: The description of the Announcement and supports HTML.

to see what it will look like. The Announcement Set must be saved prior to previewing.

Announcements in the Mobile Employee Experience (MEE)

All announcement items that displays in the Announcement section on the MEE will be displayed with the default image as shown below. This image can be changed by uploading an image or selecting to display a MEE Help Video/Document in the Announcement Item Help MEE section.

To configure the announcement item not to use the default image, click on the Announcement Image radio button and then the

to upload an image file. The image will be displayed on screen when it is uploaded and this will be shown in the MEE.

Portal Announcement Set Maintenance Screen - Announcement Image

Supported file types are: png, jpeg, jpg and gif. It is recommended that a picture of low contrast and soft focus with dimensions of approximately 1650x1100px is used. A file size of approximately 100 KB is recommended; otherwise, performance on the portal may decrease due to load time for the background image. If the orientation of your Announcement Image appears incorrect on the MEE, try using your desktop photo editing software (Photoshop, MS Paint, etc) to open the image file and set the rotation correctly.

To display a video or document from the Company's Document library, click on the MEE Help Video/Document radio button and select a value from the MEE Help Video/Document drop down list. The values that appear in the drop down list is displayed when the video/document is uploaded in the Company Document Library with the category of "MEE Help".
