Individual level documents such as birth certificates can be uploaded to the employee, spouse/partner and children/dependent screens directly in the Equus Platform and the Mobile Employee Experience (MEE). This allows for more specific document requests, tracking and reporting, plus better clarity to vendors when receiving documents through the Ecosystem.

The copying of documents on the spouse/partner and children/dependents records from the most recent assignment (assuming there is one) is included as part of the Family Data copy feature. (Family Copy must be enabled using system preference ASAUFAMCPY, “Copy Family Data”.)

The Document Section is located in the bottom right hand corner of the individual's page.

Documents Section on MEE

The Documents section on the individual screen will appear if the individual's screens are set to <Enabled>, <Full Access> or <Read Only> in the Advanced Settings on the Employee Experience Configuration screen found at the Configuration level.

In the Equus Platform, the Document Section will appear only if the user has been granted the appropriate security rights.

The Documents section on the individual's record will appear if the security role assigned to the internal user is granted access to the following Security Section Rights (Section Name):

  • <Employee - Documents>

  • <Children and Other Dependents - Documents>

  • <Spouse/Domestic Partner - Documents>

The Security Section Rights section is on the Security Role Maintenance screen under Role Maintenance at the Configuration level.

Although it is possible to hide the Document Section in the internal Equus Platform view by unticking the "View" check box, employees will continue to see the Documents section in the MEE. This is because the MEE does not support screen section rights.

Note - The rights to delete documents is tied to the rights to edit documents (to delete a document, you must first click on the edit icon beside the document name to access the delete button on the screen). To turn off delete rights, the edit rights must also turned off.
