Overview

Equus Platform can now automatically assign resources to assignments. For example, it can determine who the Assignment Coordinator should be, and update the assignment accordingly.

The new Resource Allocation Ruleset screen can be found at the Company level which can be used to configure the rules for automatically assigning resources to assignments.

A Resource Allocation Ruleset is created for each Resource Role(field) that should be automatically populated. They are created as inactive by default in order to avoid having the ruleset prematurely trigger prior to having the logic completely configured.

Ruleset Configuration

To create a new resource allocation ruleset, click on

in the Resource Allocation Rulesets screen. You can also choose to view or edit existing Resource Allocation Rulesets by clicking on

APro_pencil_icon.png

.

The Resource Allocation Ruleset Details screen will appear when creating or viewing/editing a Resource Allocation Ruleset.

  • Description: A mandatory description text field that gives a summary of the resource allocation ruleset

  • Resource Role: This mandatory field sets the target resource role for the ruleset configuration (e.g., Assignment Coordinator)

  • Take Action: Similar to the Quick Workflow logic this mandatory dropdown field sets the triggering condition for the ruleset, the ruleset will take action or trigger automatically once an assignment field value changes or when a target date has passed.

  • Data Source: This identifies which screen or table in the system the target field date will come from or the data source or category of the target field that is to be evaluated.

  • Target Field: This identifies which field in the system will be the source of the triggered event.

The criteria for determining which resource should be assigned based upon the specifics of the assignment (e.g, Karen Smith should be assigned to any assignments going to Germany).

Each resource gets its own set of criteria. The system will run through the criteria for each resource until it finds the first match. The resources can be sequenced to specify the order in which they should be run. If a match is not found, the Resource Role (field) will not be updated.

To add a Rule, click on

in the Resource Allocation Rules section. The Resource Allocation Rule Details screen will appear, where Resource Rulesets can assign Resource Roles based on Rules.

  • Resource to Assign: This drop-down field lists available resources to be associated to the rule

  • Description: A description text field that gives a short description of the resource allocated to a rule

  • Sequence: This sets the sequence of rule evaluating the ruleset until the first active rule in the sequence has all of its conditions met.

Adding a condition to a rule ensures the rule is triggered only when the configured condition is met. In this example, the Resource is assigned only if the assignment’s destination location is the United Kingdom.

  • Sequence: This column will create a sequence of the conditions if there are more than one configured in the rule and will work sequentially from top to bottom.

  • Data Source: This drop-down type ahead field identifies which screen or table in the system the target field date will come from or the data source or category of the target field that is to be evaluated by the rule before execution.

  • Comparison: This column sets an operator between the Data Source and the Compare to column.

  • Compare To: This drop-down type ahead field will indicate the target field.

Once you have configured your rule, click on

save.png

to apply the changes.

Things to Note

  • A default resource (with no criteria), and/or a Quick Workflow should be considered to account for this scenario

  • As a default, a newly created rule is always set to "Inactive".

  • It is recommended to have only one resource ruleset active for each resource role type
