Configuring Mobility Record Approval Rulesets and Approval Routing

Approval Ruleset and Approval Routing can be designed and created for all mobility types. These are created at a company-level. Note, an Approval Ruleset should be configured prior to this process.

Quick Workflow

Quick Workflows can be utilized to support the approval ruleset for all mobility types. Automation in Quick Workflow can be configured so that when triggered, the approval routing process can begin correspondingly.

The Data Type of the Quick Workflow must be 'Assignment' to utilize the automation.

Under the Automation tab, set the Process to 'Start Approval Routing' and select the ruleset to be used in the 'Approval Routing Ruleset' field. This field will only show rulesets with a type of 'Mobility Record'. This configured Quick Workflow supports and can be used for all mobility types. The Approval Ruleset can be configured prior to this process.

Note, you can add filters for the mobility type if the approval ruleset used in the Quick Workflow is only meant to be used with a specific type.

Email Notification

Each mobility type has a standard email notification type and template for approval routing. Here's an example of an email notification for Mobility Type Business Travel.

The email sent to the configured approver will contain the Mobility Types details. Depending on the Mobility Type, the notification email template may differ from one another. Additionally, a link to the approval form is included. Contact your Equus representative if you want to edit and configure a notification email template.

Similar to the email template, approval forms may differ for each mobility type. Approvers can then approve or deny the approval routing request.

Things to Note

  • There is no default approval ruleset or mobility type policy default for Mobility Records but there is a default ruleset for remote work work approval. More information can be found in this article

  • This approval ruleset supports all mobility types, and does not support traditional assignments (legacy assignments that use radio button: International Assignment, Business Traveler, or Permanent Transfer)

  • The Quick Workflow to be created must consider using conditional filters to trigger one and/or specific company only
