Release 18.1 includes a number of new features which significantly enhance the functionality of AssignmentPro.
AssignmentPro-to-AssignmentPro Integration
Service Providers and Corporate Clients both using AssignmentPro can now easily and securely streamline the integration of their AssignmentPro data to gain real-time access to all their relocations service information â all without leaving their own system. This integration simplifies the daily processes performed by mobility teams and service provider personnel by eliminating data entry duplication, increasing visibility and improving data analytics.
HR Requests
Through the new HR Request feature, HR professionals can authorize, all the necessary tasks required to effectively manage global talent, all while staying aligned with the global mobility organization. This new functionality helps empower HR with a self-service tool to streamline processes and reduce bottlenecks so they can focus on providing an improved employee experience.
Policy Auto-Selection
The Policy Auto-Selection feature simplifies the authorization process and takes the guesswork out of the policy selection process. Using pre-configured business rules, AssignmentPro can now automatically select the proper policy in an authorization, as appropriate for the employee and specific move type.
Approval Routing in Extensions and Authorizations
The new Approval Routing features give companies more control over the approval process for Extensions and Authorizations by enabling companies to preconfigure the necessary approvers for a given routing workflow. With predefined routing workflows, users no longer need to manually enter the approver, and key stakeholders never miss an important notification.
Other Features
Assignment Deletion Batch
In some circumstances, when an assignment was deleted the associated authorization record remained. This has been corrected.
Authorizations
Authorizations can now automatically determine the policy that should be used for an assignment based upon the data that has been entered in the authorization for that employee and assignment.
A new âPolicy Availabilityâ page has been added at the company level on which the rules for determining the appropriate policy can be established.
The rules can compare current field data to a user defined value or another field, and in the case of another field the values stored in the system are displayed to the user for easy selection.
The rules can configured to determine the one applicable policy for that authorization, or the list of possible policies from which the Authorization Coordinator can select.
A setting has been added at the Authorization Template level to configure whether to use the previous policy availability configuration or the new company level policy availability rules.
Approval Routing
Both Authorization Approval routing and Assignment Extension Approval routing have been enhanced to allow more control over the routing workflow and to eliminate the need for manual approver entry.
For both approval routing workflows:
The approver âSequenceâ field has been replaced with approver âRoundâ to simultaneously allow approvals both in sequence by round # and in parallel for the same round.
A new âApproval Rulesetâ page exists that allows for the creation of logical conditions and when a ruleâs conditions are true, that rule allows an approver to be automatically applied to the approval request.
Users can optionally override or reset an approverâs denial and instantly resume routing.
Assignment Extension Approval routing now supports:
A âResendâ button that resends emails to approvers that have not yet responded.
An approver âTitleâ
A âCancel Current Routingâ button that cancels the current routing and allows it to be edited and restarted
A âRouting Historyâ button that displays a detailed record of the routing history
Assignment Extension Approval rulesets support:
A âDocument Visibilityâ setting similar to Authorization routing that sets how approvers see approval documents
A âFinal Approvalâ setting similar to Authorization routing that sets the process for final approval to manual or automatic
âApprovers see other approversâ, âEnable Shared Approver Commentsâ, and âRequire Shared Approver Comments for Denialsâ settings similar to Authorization routing that allow customized routing process where approvers can see and even communicate with other approvers
Client Portal
The Client Portal now allows users to submit requests to the mobility team such as assignment extensions, repatriations, or end of employment. Requests of different types can prompt for data defined in User Tables and QWFs can be triggered when requests are submitted.
Equus-standard Request Types exist for Assignment Extension, Employee Repatriation, End of Employment and Generic. Standard request types can be inactivated.
All system level Request Types can be overridden at the Company level.
All Request Types support Reason and Comment fields by default.
A new âRequest Typesâ page exists where Request Types can be created and configured to prompt the requester for desired, required, and optional information. Request Types can be edited or deleted based on page rights.
New Requests can be submitted using a standard Widget (âPortal â New Request Widgetâ) or custom Widgets can be made that link directly to the âSubmit Requestâ screen.
When submitting a Request, assignments can be selected in real-time based on employee name or number.
A new âRequest Historyâ page can be viewed for the selected company or an individual assignment. Request information is limited to assignments for which the user has security access rights. New Requests can also be submitted from this page.
The Request History page can be filtered to only Requests generated by the current user.
A new standard Widget (âPortal â New Initiation Widgetâ) automatically lists all currently active Authorization Templates for the current company and selecting a template starts an Authorization of the type.
Mobile Employee Experience
A couple of enhancements have been made to the Mobile Employee Experience.
Added integration with the Questionnaire application which improves the collection of employee information for an assignment. Now, users can assign Questionnaires to their employees using AssignmentPro checklist items, and Employees can launch these right from the Whatâs Happening Timeline. Single sign-on with the Questionnaire application allows Employees to open their questionnaires without having to enter their password a second time.
Vendor logos can now be displayed on the Contacts page and on the Benefits and Services cards to allow employees to more easily recognize their vendor contacts in the Mobile Employee Experience. Vendor logo images can be uploaded on the Vendor Details screen as well as in the Equus Hub.
Security Updates
As a standard process, Equus fixes vulnerabilities found through testing and analysis. For this release, a few enhancements have been made to address findings.
Tax Cost Estimates
Added a user report and view to assist with assessing the impacts of the December 2017 U.S. tax law changes. User report shows the changes to U.S. tax costs and assignment total costs for years from 2018 to 2020. The report can be filtered by CE Batch Name or CE Batch ID. If using CE Batch Name, the CE Batch filter must be equal to 0.

User Report Scheduler
For a long time now, User Reports could be configured to be Exports in either Flat File or XSL Transform formats. The Report Scheduler has now been enhanced to support delivering User Reports in these export formats. This can be used to automate the export of data for systems integration purposes.
Vendor Integration
18.1 focused on ensuring clients who do business with vendors that use AssignmentPro have the same experience and access to features as they do with vendors that donât use AssignmentPro.
The existing data exchange functionality between two AssignmentPro systems now supports the following:
Vendors that use AssignmentPro can receive the same set of data as non-AssignmentPro vendors; this is a much larger set of data than was previously available.
Configuration of these vendors in client systems is the same process as configuration of non-AssignmentPro vendors.
Configuration of the data that is sent to these vendors is the same regardless of the system the vendor uses.
All other functionality supporting data exchange between a corporate client and its vendor that uses AssignmentPro, such as the vendorâs ability to promote Authorizations and security on both the client and vendor, remains the same.
Limited the data being sent to non-AssignmentPro vendors for an <Update Value(s)> Integration Event Definition to those associated with open Service Orders only. This allows vendors to only receive information about the services they are actively working on, so that they can focus on providing the best possible service to employees.
