Release 19.4 includes a number of new features which enhance the functionality of AssignmentPro.

Checklist Enhancements

Checklists have been enhanced to track the record that automatically launched them. This means they can link directly to the record that needs attention.

For example, a task on an employee’s what’s happening timeline can now take the employee to the specific e-signature document that requires signature, or election that requires submission. The Tasks and Notifications widget has also been enhanced so internal users can benefit from this enhancement as well.

Document Enhancements

Documents can now be added to the employee, spouse/partner and children/dependent screens directly. This will make it clearer to see who the document relates to and allow for checklist tasks and reporting to relate to documents for specific individuals.

New Landing Experience

The first version of the new landing experience will be available in the September release, version 19.5.

The new landing experience will provide internal, HR, and business partner users with a flexible and interactive way to view and manage their data and tasks. Key to the experience will be the ability for users to perform the vast majority of their work from the landing page, rather than needing to navigate into individual records.

Other Features

Assignment Delete

Previously, users may have received an error “This Assignment could not be deleted for the following reason: Object cannot be cast from DBnull to other types.” This is fixed.

Assignment Details

  • Fixed an issue where REMINDER_RESOURCE records were preventing the Employee from being deleted. Now, deleting an assignment will delete those records and the employee can be deleted successfully.

  • The following three assignment level credit card fields have been removed from AssignmentPro:

    • ASSIGNMENT!CC_NUMBER

    • ASSIGNMENT!CC_YEAR

    • ASSIGNMENT!CC_MONTH

  • In version 19.3 an optional feature was introduced to ensure assignment end dates are greater than assignment start dates. Assignment extension requests have now been enhanced to ensure the proposed end date is after the assignment start dates.

Checklists

A number of enhancements have been made to checklists:

  • Checklists now remember the exact record that automatically launched them, so that the checklist item links that appear in to do lists can now take the user to the exact record that needs attention.

  • For example, a task on an employee’s what’s happening timeline can now take the employee to the exact e-signature document that requires their signature, or election that requires submission. In addition, the Tasks and Notifications widget has been enhanced so internal users can benefit from this enhancement as well.

  • The Checklist Details page has been enhanced to include a link to the source Checklist Template, a field to show if the checklist was launched manually or automatically, and if launched automatically the name of the table and the record id which launched it.

  • The Checklist Template Checklist Item page has been enhanced to include additional pages in the page drop down lists, and a new By Going to E-Signature Document option when completing an item automatically.

Core Flex Benefit Sets

A report relationship has been created between Benefit Set and Cost Estimate Calculation Error. This will allow for easier reporting on Core Flex line item errors.

Cost Estimates

  • Cost Estimate Line Items that have a “Tax Input Name” can now also use the “Exclude from Section and Subsection Total” feature.

  • Previously, users running Cost Estimates and What-If Cost Estimates would receive errors such as: “While you were editing, another user updated the same record you were modifying…”, or “Transaction (Process ID #) was deadlocked on lock resources with another process…”. To reduce the number of these errors, an index was added to the COST_ESTIMATE_LINE_ITEM table.

Ecosystem

  • Fixed an issue with the Total Integration Failures widget not displaying correctly when there is a single failure. The widget will now show any failures that exist.

  • Fixed an issue with broken field references on Service Type Lookup Reports. Reports now process without issue and return fields associate with the standard data set tables.

  • Fixed an issue with Chart widgets not loading on the ‘Equus Dashboard – Ecosystem’

    • Ecosystem Dashboard - Service Requests by Vendor (last 90 days)

    • Ecosystem Dashboard - Service Requests by Type (7 days)

Employee

  • Fixed an issue where REMINDER_RESOURCE records were preventing the Employee from being deleted. Now, deleting an employee will delete those records and the employee can be deleted successfully.

  • When an Employee is deleted, associated Passport documents are now also deleted. Previously, an error “This record cannot be deleted because it is referenced by another record.” would display and users would have to delete the Passport records before deleting the Employee. Now, this is no longer the case.

  • The following two employee level race fields have been removed:

    • EMPLOYEE!RACE

    • AUTH_STAGE_EMPLOYEE!RACE

Family Documents

Documents can now be added directly to the Employee, Spouse/Domestic Partner, and Children/Dependents screens.

  • Documents uploaded to these pages are also visible on the Assignment Documents page for the employee’s assignment.

  • Employees can edit and delete only the documents that they uploaded. Internal users can edit and delete documents uploaded by Employees only to these pages.

  • The following standard Document Types were added to allow clients to easily locate these documents:

    • Employee Birth Certificate – this type is associated with the Employee and Employee Experience Profile pages.

    • CV/Resume – this type is associated with the Employee and Employee Experience Profile pages.

    • Spouse Birth Certificate - this type is associated with the Spouse/Domestic Partner and Employee Experience Spouse pages.

    • Dependent Birth Certificate - this type is associated with the Children and Other Dependents and Employee Experience Dependent pages.

Note: If you use data sensitivity to restrict access to documents, either this should be applied to the new document types, or the new document type should be inactivated.

  • Documents associated with Spouse/Domestic Partners and Children/Dependents are copied from Assignment to Assignment using the Family Copy feature. (Family Copy must be enabled using system preference ASAUFAMCPY, “Copy Family Data”.) This means those documents are copied from the most recently-created active assignment to:

    • New Assignments,

    • New Authorizations (via manual creation and copied from HRIS),

    • New Authorizations created from Assignments, and

    • New Assignments created from Authorizations

  • Screen sections govern the display and usage of the document sections in AssignmentPro only. By default, these sections are displayed for all users who can currently access the page. The section Names are:

    • Employee - Documents

    • Spouse/Domestic Partner - Documents

    • Children and Other Dependents - Documents

  • Immigration vendors can receive documents via the Immigration permission set and Integration Data Mapping (Push Scripts)

  • Changes to information about these documents can initiate a data push to a vendor using Trigger Fields for an Update Value(s) event on the Event Definition page.

Imports

The following obsolete imports have been deprecated: AirInc File Format 3, Flat File import type, and Excel import type. No clients were using these imports.

Merge Documents

The Merge Document configuration screen has been enhanced to allow easier search and selection of User Reports.

Mobile Employee Experience (MEE)

  • The what’s happening timeline now displays dates based on the time of the user’s computer, instead of server time. This change reduces confusion over when tasks and events are due.

  • Previously, there was a bug with user pages deleting services configured for display on the Benefit & Services card. This has been fixed.

  • Users were unable to save records in the MEE when required custom fields had entries in them. This has been fixed.

  • After the 19.3 upgrade, new Employee users in the MEE received an “Access Denied” error when attempting to upload documents using Expense Entry. This has been fixed.

  • Previously, Host Country Data was not loading all available countries into the MEE. This has been fixed, and all countries will now be available.

Note/Communications

Fixed an intermittent issue where emails originating from AssignmentPro were omitting attachments once the email was sent.

Resources

  • Fixed an issue regarding the Resource drop down where if a Resource Name included special characters and the user attempted to select that Resource from the drop-down, the page displayed an unexpected error and could not be saved.

  • Fixed an issue where Assignment Extension approver name and email address wasn’t saving once the screen refreshed.

Services

Services have been enhanced to reduce the possibility of false alarms relating to their heartbeats:

  • Services are used in the background to support many features in AssignmentPro. Each of the services has a heartbeat which is used to determine if the service is running properly or not. If the service heartbeat stops, that is an indication that there is an issue.

  • As part of an ongoing effort to ensure each service heartbeats consistently and reliably, the following services have been enhanced to reduce the possibility of false alarms: Data Event Service, Security Compiler, Report Runner, Grow Workflow, and Email Import.

Single Sign-on

When a user who hasn’t been set up in AssignmentPro attempts to log in via single sign-on, a custom message appears directing the user on how to resolve the issue. Under some circumstances the message was not appearing. This has been fixed.

User Reports

An enhancement has been made to user reports to improve their performance. This will allow the user report to get a new query plan each time it runs in an effort to make it run faster. A system preference (OPTRECMSQL) has been added to turn off the enhancement in the unlikely event that it is not wanted.

What-If Cost Estimates

Previously, the Child/Dependent icons in the What-If Cost Estimate Request were not displaying. This has been fixed.

Widgets/Dashboards

New Equus Standard Dashboards have been configured for the Home page and for various users of the system. By default they will be active, but can be made inactive as well.

  • A dashboard ‘Equus Dashboard - Coordinator Overview’ has been created for the Home page to show various data for assignments where the logged in user is the Relocation Coordinator.

  • A dashboard ‘Equus Dashboard – Cost Project Overview’ has been created for the Home page to show projected Costs broken out into various data groupings. The dashboard is going to output all amounts in Company Currency. The Cost Estimate data is returned from the Cost Estimate marked as the primary. This dashboard is intended for systems with a single company or where all companies have the same company currency.

  • A dashboard ‘Equus Dashboard - Diversity Overview’ has been created for the Home page to show gender, age and family size data broken out into various data groupings.

  • A dashboard ‘Equus Dashboard – Exception Overview’ has been created for the Home page to show exceptions numbers and costs in various formats. This dashboard is intended for systems with a single company or where all companies have the same company currency. For users with multiple-companies; the Total Exception Cost Tile widget will show a separate tile for each different currency.

  • A dashboard ‘Equus Dashboard – Program Overview’ has been created for the Home page to show details of the entire assignment population.

  • A dashboard ‘Equus Dashboard – Regional Overview’ has been created for the Home page to show widgets for a specific home and host region. Users can select which region they wish for the widgets to display data for.

Vendor Integration

  • New enhancements have been made to the Integration Data Mapping tool, which enables users to create Push Scripts to send information to Vendors when services are ordered.

    • Additional tables are now available to add to an Integration Data Map, enabling more information to be configured to send to Vendors.

    • When sending Service Type to a Vendor, the Standard Service Type or Custom Service Type display value can be selected. This is also supported when configuring Service Type as trigger fields to send updates.

    • Fixed an issue where the Payload Preview function was not working with Advanced Push Scripts.

    • Added support for sending information about Resources.

    • When creating a Data Map, filters can be applied against tables that will limit the information returned in a Push Script based on when something was last created or updated.

    • When documents are added to a Push Script, filters can be applied to limit what is returned and sent to Vendors.

    • If an existing Push Script was copied to create a new one, filters and any null field overrides were not being copied. This has been fixed.

    • The Payload Preview now displays the estimate size of a given payload.

    • When a field representing a country is added to a Data Map, users can select the 2 character ISO code to send to Vendors.

    • Users can now construct complex queries to be applied against tables when creating filters.

  • The Integration Event History page has been updated to show additional information to users when researching events:

    • When a Follow-up to a Service Order is sent, or when an Update Values Event Definition is triggered, these events will now be shown in the grid.

    • Data pushes to Vendors are now flagged with the type of Event: Initiation (order Service Order), Update (Update Values or Follow-up), or Cancellation.

    • Vendor Service updates will now be displayed along with data pushes. They will be shown in the Event Grid as ‘Outbound’, while data pushes will be shown as ‘Inbound’.

    • Batch Service Updates from Vendors will now be logged individually.

    • The Service Order ID and Vendor Name are now shown for each event. Additionally, users can now filter on the Service Order.

    • More information is available per record in the Event Grid, including an indicator of the direction and type of Outbound events.

  • The new Family Documents feature on the Employee, Spouse/Domestic Partner, and Children and Other Dependent Pages warranted the following changes:

      • Integration vendors can receive Family Documents via::

        • The Immigration permission set and 

        • Integration Data Mapping (Push Scripts)

  • Changes to Family Document information can initiate a data push to a vendor using Trigger Fields for an Update Value(s) event on the Event Definition page.
