Security Rights

In order to view a Report Schedule or Execution History, the user’s Role must have rights to the Report Schedules tab as well as the Report Scheduler History Details tab for System and/or Company. There are no Screen Section Rights required.

For System and Company, these rights can be added to a role to be able to view a schedule and/or a single execution history record on the Role Maintenance screen

Schedule Execution Details

Once a schedule has been created, activated and saved, the schedule will execute as configured based on the security of the user who created the schedule.

If a schedule is edited and saved by a different user, any executions thereafter will run based on the security of the last person to update the schedule. This information is displayed on the screen for anyone viewing or editing a schedule.

Note: Only schedules set to an ‘Active’ status will execute successfully. All schedules are set to ‘Inactive’ by default. Users creating or editing need to de-select the checkbox on the screen and [Save] in order to ensure proper executions occur.

Once the schedule has executed, information can be found about each execution under Execution History for each individual schedule.

The Execution History shows the time, date and status of each past execution.

  • Success – A successful status means that all reports generated successfully and were successfully sent to the recipients.

  • Failure – A failed status means that one or more reports failed to generate and therefore the email to recipients also failed. Note: An execution record will not show a failed status if the list of recipients contains an invalid or incorrect email address; Failed status will only appear if a report failed to generate or the email server was not able to send any items.

Failure Notification Email System Preferences

If a schedule fails, an email will be sent to the failure notification email address(es) that are designated in the System Preferences screen. A user with the ability to edit a schedule will need to fix the issues with the schedule before its next execution in order to not receive another Failure status during next execution.

Emails can be configured at both the System Company levels using the System Preferences screens. The System Preferences screen is shown below.

Enter one or more email address(es) in the Report Scheduler Failure Notification Email field. Separate multiple e-mail addresses with a comma “,”.

If a system report fails, the people associated with the system-level parameter are notified. If system-level parameter is blank, no notification will be sent.

If a company report fails, the people associated with that company’s company-level parameter are notified. If company parameter is blank, send failure to system-level parameter. If both are blank, no notification will be sent.

Report Schedule History

To view more details about each individual execution that shows in the Execution History grid, the can be clicked to view the contents.

The content includes all schedule parameters that were applied the execution, including Recurrence Pattern and Delivery Options.

It also includes the Status Code (Success or Failure), the Status Message (which explains why a Failure or Success status exists) and indicates which User Reports failed.

For successful or failed executions, reports that were successfully generated can be downloaded and viewed. The password (if applicable) will also show on this screen for opening reports that require it.

A schedules history will also include the user ID of the user whose security was used to generate and execute the reports.
