Key Features

Release 18.2 includes a number of new features which significantly enhance the functionality of AssignmentPro.

Immigration Cases

The enhanced Immigration Cases feature within AssignmentPro now has the ability to track and manage immigration cases at the employee and corporate level, delivering improved visibility and automation of the complete work authorization process. With direct integration to a company’s immigration provider, AssignmentPro’s Immigration Cases provides:

  • Access to real-time information on a case, enabling complete transparency into the status, key milestones and more for Global Mobility teams, and the business.

  • Centralized document exchange and integrated communications between Global Mobility, business stakeholders, immigration partners, as well as mobile employees.

  • User-friendly app for employees to manage the progress of their immigration case, including access to documents and a timeline to monitor critical dates and key milestones.

Assignment Details

  • Improved the behavior of the Assignment Documents screen to ensure that, when the F5 key is selected after a document has been deleted, a second document is not deleted by accident.

  • Previously when setting the status of an Assignment to Cancelled the system would automatically populate the Expiration Date field on the User Maintenance screen for the associated Employee user account, even when the Employee had other active Assignment records. This behavior has been modified. When setting the Assignment to Cancelled the system will no longer automatically populate the Expiration Date field on the User Maintenance screen.

  • A new user report view has been added to pull the most recent passport record details. If multiple records exist for an Employee, Spouse/Domestic Partner or Dependent, the view will pull the record with the greatest expiration date. If multiple records exist with the same expiration date, the view will pull the latest record created. The name of this view is Latest Passports by Assignment (view).

Assignment Packages

Assignment Package creation has been enhanced to support queuing. If a user generates multiple Assignment Package requests as part of an Authorization configured with Automated Processing set to create the Assignment, all Assignment Packages will be created sequentially and with the correct data.

Assignment Policies

The Assignment Policy Details screen has been improved for better usability. Fields have been reordered and selection lists have been sorted.

Authorizations

  • Fixed an issue where the CompanyID was being dropped from the URL of new Authorization pages and preventing the execution of Policy Availability Rules if the user was of type “External Client”.

  • Introduced the ability to configure a User Page as a tab on the Authorization wizard. This will allow for the collection of custom information during the authorization process, and if identical assignment user tables exist, the data will be copied to the assignment level when the authorization is finalized.

Checklists

Our standard checklist control has been added to the Notes/Communications, Assignment Request History and Service Order Details screen. This will allow checklist items to appear on these pages.

Client Portal

Updated the portal to display the “Assignment Request History” and “Company Request History” as two separate menu items on the Client Portal. The former configuration was showing these two menu items together which was confusing to the logged in user because once an assignment is viewed, the user had no way of seeing the request for the company.

Compensation Calculations

Multiple performance enhancements have been applied to Compensation Calculations to reduce calculation time. Impact will depend on configuration.

Coordinator / Resource Drop-Downs

  • Updated the Resources Configuration screen to prompt the user to search for a Resource. In former versions the full set of resources would load when opening the screen. This was creating significant system issues for clients with a large number of resources. All of the resources can still be displayed by not entering any search criteria and clicking the “Search” button. In cases where clients have a large number of resources, search criteria such as resource name, email address or user id should be entered prior to searching to avoid system slowness.

  • Enhanced the drop-down fields for specifying a coordinator / resource, such as an Assignment Coordinator, to support large numbers of resources from both a performance and usability perspective.

    • If more than 200 resources will appear in the drop-down, the user must first type in 3 characters to search for their desired resource. If more than 1000 resources match the criteria, only the first 1000 will populate in the drop-down list and the user will see a message that their result set was limited.

    • If more than 7 but less than 200 resources will appear in the drop-down, all 200 will appear in the drop-down and the user has the option to either type in characters to filter the list or scroll through the list to select their desired resource.

    • If less than 7 resources will appear in the list, they are all listed in a simple drop down list for the user to select from.

  • Increased the length of Resource Name field to 255 characters to accommodate companies with a large numbers of resources. This will allow clients with larger quantities of resources to uniquely distinguish their resource names by appending unique identifiers such as email address.

Cost Estimates

  • Added the following fields for all years of the cost estimate to the Tax Estimator Calculation Details (View) to provide additional reporting information from the Cost Estimate Calculation Details:

    • Home Actual Social Tax Employer

    • Host Actual Social Tax Employee

    • Host Actual Social Tax Employer

    • Home Social Tax Calculated

    • Home Social Tax Resident Indicator

    • Host Social Tax Required

  • Multiple performance enhancements have been applied to Cost Estimates to reduce calculation time. Impact will depend upon configuration.

Mobile Employee Experience

  • Included the new Case Management fields in the Mobile Employee Experience’s Immigration Benefits & Services Card, so that employees have visibility into the progress of their immigration work.

  • Fixed an issue where the Mobile Employee Experience mobile application would not always authenticate correctly.

Notes/Communications

In some instances, if the To recipient field in communications sent from AssignmentPro exceeded 500 characters the email would fail. This has been corrected.

Policy Availability and Auto-Approver Rules

Fixed an issue where rules would not work after changing the display name of a User Table that contained fields used in rule conditions.

User Pages

With the ability to add User Pages as a tab in the Authorization, we increased the number of User Pages available for configuration from 30 to 40.

Vendor Integration

This release continued focusing on enhancing integration with AssignmentPro vendors, as well as added functionality related to Visa/Work Permit.

  • Added Visa/Work Permit Service Request fields to the Equus-delivered “Immigration Service” Push Script, which is triggered when a “Visa Service” Service Order is sent to an integrated vendor. This allows integrated vendors to receive better details about the service being requested.

  • Updated the Immigration Service Permission Set to be able to exchange Visa/Work Permit Service Request and Case information to allow immigration vendors to receive and send all available information for the Visa/Work Permit service.

  • Provided functionality for clients to send User Table data to their AssignmentPro vendors in the Advanced Push Script Builder. This allows clients to send the information their vendors require, so that they receive the best service possible.

  • Added the ability for clients to send documents along with the Service Order when requesting services from their AssignmentPro vendors. Because these documents are ultimately saved in the vendor’s system, this gives clients the flexibility to send complete information about the requested service.

  • Added the following permissions in to the APro to APro Base Permission Set for Companies:

    • ASSIGNMENT_DEPENDENT!ASSIGNMENT_ID (Create, Read, Update)

    • SPOUSE_DOMESTIC_PARTNER!ASSIGNMENT_ID (Create, Read, Update))

    • SPOUSE_DOMESTIC_PARTNER!RELATIONSHIP (Create, Read, Update)

This change provides better data tracking for vendors.

  • Corrected a problem with AssignmentPro vendors not being able to successfully update the Client’s systems due to permissions with LAST_UPDATE_DATE.

  • Addressed an issue in the Push Script Builder screen where lookup fields did not allow users to select a Send Lookup Value.

  • To finalize the improvements made in 18.1 for AssignmentPro vendors, the following tables have been removed:

    • GROW_INTEGRATION_SUBSCRIPTION

    • GROW_INTEGRATION_SUBSCRIPTION_DATA_CHANGE

Visa/Work Permits

Introduced Case Management into the Visa/Work Permits module to allow clients to track the progress of their immigration cases for their employees.

One Case may track the progress of a set of immigration documents for one or more people. It provides a higher level of work-tracking than what has previously been available, as well as better supports audit reporting requirements.

The Case Management feature includes the following:

  • New fields on the Visa/Work Permit Service Request to allow mobility users to specify the services they want, and the people for whom those services are being requested.

  • A Case screen to track the progress of a set of immigration documents for one or more people.

  • If immigration work is outsourced to a vendor, a Case can be associated with a Service Order to identify the vendor that is providing the work.

  • Included the new fields in Push Scripts, Event Definitions, and Permission Sets to allow clients to continue doing business with integrated vendors that have been configured to exchange Case information.

  • Included the new fields in the Mobile Employee Experience’s Immigration Benefits & Services Card, so that employees have visibility into the progress of their immigration work.

  • Added a new view titled “Visa/Work Permits User Report (View)” that allows user reports to access all data associated with a Case record, including up to 10 Dependents and up to 10 Detail records. The “Equus – Immigration Details” User Report Type was updated to rely on this view.

  • Deprecated the Equus-delivered Visa & Work Permit Import due to low usage rates.

  • As part of the upgrade, Case records were created based on information available in the system being upgraded. One Case record was created per Service Order, and Detail record(s) associated with that Service Order were associated with that Case. Detail record(s) not associated with a Service Order were associated with a single Case record. For details, please see an Equus Client Account Manager.
