Key Features

Release 18.6 includes two major new features which significantly enhance the functionality of AssignmentPro.

Go Paperless with DocuSign

DocuSign for AssignmentPro makes routing and managing assignment documents fast, simple and secure by digitally transforming the approval process. This new integration enables clients to generate and send pre-populated documents without the hassle of manually sending and tracking down files for signature. Capabilities include:

  • Automatically merge information from any data set

  • Customize email templates for each signature type

  • Securely send, receive and store assignment documents for auditing purposes

  • Get real-time updates to monitor the status of each signatory

  • Electronically sign directly from AssignmentPro, the Mobile Employee Experience app, or from email

Automate Tax Service Eligibility

Creating and managing tax eligibility lists can be a complicated and time consuming task. AssignmentPro can now automatically determine an employee’s tax eligibility status to create tax eligibility records and global eligibility lists. This new feature uses configurable rules to look at each employee’s situation and determine what services they are eligible for and in which years of their move/assignment. Different types of eligibility can be created, for example ‘Tax Return’, ‘Tax Equalization’, ‘Tax Briefing’ etc., allowing clients to ensure support is provided consistently and correctly.

With the automation of tax eligibility determination, clients and vendors can ensure they always have an up to date list of eligible employees by service, reducing the time burden and delay in producing manual lists throughout the year.

Assignment Documents – DocuSign® E-Signatures

AssignmentPro now integrates with DocuSign®, an e-signature provider, to allow clients to securely sign their documents electronically anywhere, saving time and resources!

  • Clients can configure a merge document for the system or for a specific company to have e-signature merge tags that identify which stakeholders need to sign and where, as well as an e-mail template to be sent with the document.

  • The Assignment Documents screen has a new section, “E-Signature Documents”, from which e-signature documents can be merged and sent for signature.

  • Before sending for signature, requesters can confirm the document’s content, signature locations, signers, and e-mail text, and send the document for signature.

  • The Document is uploaded to DocuSign® and signers are notified when it is their turn to sign.

  • Signers sign or decline the document in DocuSign®. If signer is an AssignmentPro user, she or he must log into AssignmentPro prior to being presented with the document in DocuSign®.

  • While the signature is in progress, a complete audit history of who signed and when is stored in AssignmentPro, to allow for status reporting and historical analysis of what documents were signed.

  • After all signatures are collected, the document is deleted from DocuSign®, to maintain privacy.

  • If the signer is a Mobile Employee Experience user, the document is shown on the Documents Card, and the signing process can be initiated from the Documents Card.

  • If the signature request contained incorrect information, it can be cancelled while it is underway so signers don’t spend time trying to sign something that is obsolete. Signers receive notifications that they are no longer required to sign if that is the case.

  • E-signature documents deleted from AssignmentPro using Assignment Delete or Assignment Deletion Batch are also deleted from DocuSign® if they are waiting for signature(s). The signers are notified they are no longer required to sign when this happens.

  • An automatic synchronization service runs nightly to ensure that any missed updates from DocuSign are saved into AssignmentPro, keeping information about e-signature request progress up to date in the unlikely event that updates are missed.

  • The integration supports a client using its own DocuSign® account. Otherwise, clients may use the Equus account. Accounts can also be applied at a company level, to support companies who rely on a relocation provider to provide services for them. Reporting is available for envelope usage through AssignmentPro. Please contact an Equus Client Account Manager for details about licensing.

Assignment Packages

  • Fixed an issue where documents or reports delivered to the Mobile Employee Experience were not downloading due to permission sets not being correctly updated.

  • When documents or reports are currently available in the Mobile Employee Experience, they cannot be manually removed from an Assignment Package until the delivery is undone.

  • Added view/edit functionality for past deliveries to the Mobile Employee Experience from the Deliveries grid of the Assignment Package Details screen, allowing internal users to audit and track what was made available for employees.

  • Updated the Assignment Package Delivery Batch screen to display information about the number of packages currently selected for inclusion in a batch.

  • Added informational badges for records in the Assignment Packages to Deliver grid to indicate when the employee associated to the selected assignment does not have a login for the Mobile Employee Experience, or does not have an email address to which to send a delivery notification.

  • Delivery Status in the Deliveries grid of the Assignment Package Details screen will now indicate when the most recent delivery has overridden those made in the past. The status will also show when a delivery made as part of a batch is undone.

Authorizations

HRIS Integration capabilities have been enhanced to support both the Primary and Secondary Citizenship fields on an Authorization.

Company Segments

Enhanced the sort functionality on the Company Segment Lookups configuration screen when hierarchical segment levels are enabled. A new sort “Full Hierarchy” was added which sorts by the entire parent segment hierarchy in alphabetical order. The existing sort was renamed to “Immediate Parent” and will continue to sort on just the immediate parent in the hierarchy.

Compensation

New fields were added to the existing ASSIGNMENT COMP & PAYROLL INFO view. These fields were added to assist with reporting on Most Recent and Previous Assignment Compensation detail:

  • Previous Bonus Type

  • Previous Bonus Amount

  • Previous Bonus Currency

  • Previous Bonus Paid Date

  • Current Bonus Type

  • Current Bonus Amount

  • Current Bonus Currency

  • Current Bonus Paid Date

  • Annual Salary For Calculations Amount

  • Annual Salary For Calculations Currency

Cost Estimates

  • Fixed an issue that occurred when copying a Cost Estimate. When a Cost Estimate was copied using the same effective date as the original, the standard report “Cost Estimate (Years 1 - 6)” was failing to include the Net Incremental Costs.

  • Added the new Home Foreign Tax Credit fields to the Tax Estimator Calculation Details (View) to provide additional reporting information from the Cost Estimate Calculation Details.

  • Fixed a formatting issue with the Cost Estimate Gross to Net Report where some of the report lines were overlapping.

Document Storage

Fixed an issue where the Document Storage Manager would infinitely loop when the Document Uploader service encountered a very specific data condition revolving around Document IDs, causing GROW Services to stall.

Expense Entry

  • Employees trying to submit expense reports on the Mobile Portal were being blocked by an error message stating “Submitted Currency may not have a value for Multi-Currency vouchers”. This has been resolved.

  • Fixed an issue where specific system configurations would not allow documents to be uploaded to expense reports by Employees using the Mobile Employee Experience.

  • Resolved an issue where the VOUCHDPMVL System Preference for Default Payment Method Value in Voucher Entry was not working at the Company Level.

HRIS Integration

HRIS Integration capabilities have been enhanced to support both the Primary and Secondary Citizenship fields in Authorizations.

Mobile Employee Experience (MEE)

As part of the Equus Ecosystem, AssignmentPro connects with PinPoint as well as other Equus applications to automatically share information. We have enhanced this experience by providing employees the ability to seamlessly access PinPoint or the Equus Tax Organizer from the Mobile Employee Experience.

  • Added the ability to assign employees a task to open Equus Tax Organizer from the Mobile Employee Experience’s What’s Happening Timeline.

  • Added a new “Quick Links” card to the MEE, which can be configured to display an access point to PinPoint, allowing employees access to the PinPoint Travel Calendar or Travel Requests whenever they need it.

  • Access to PinPoint using single sign-on, allowing employees to automatically be signed in from the MEE.

  • The Quick Links card can also be customized to display and open hyperlinks from within the MEE, to allow clients to provide employees access to organization-specific sites.

  • To account for the new Quick Links card, provided the ability for administrators to configure up to five (5) cards to display on the MEE’s home screen; those not displaying will display in the drop-down menu.

  • In the MEE’s drop-down menu, added a menu item to the Benefits & Services card, to allow employees access to it when it is not shown on the home screen.

  • Provided the ability to configure a checklist item to open the Quick Links and Benefits & Services cards from a task on the MEE, so that employees can receive tasks requesting them to look at content in either of these places.

  • Enhanced checklist item task functionality to provide a user-friendly error when the task is configured to open a card, and that card is inactive or has no content.

  • Provided the ability for employees to view their Tax Return documents in the Documents card as well as the Tax Benefit & Services card. As part of this change, Tax Return documents also display on the Assignment Documents screen.

  • Added the Organizer Receive Date and Calendar Receive Date to Tax Return Detail records in the MEE's Benefits & Services Card for Tax. As part of this, reworked the Equus Portal - Tax Details user report to be compliant with SQL 2008 servers.

  • “Organizer Receive Date” can now be automatically received as the employees complete their tax organizers.

  • Added two new fields to the Tax Return Details screen: “Organizer Due Date” and “Calendar Due Date”. These fields can be populated as part of the Tax Return preparation process.

  • In the Tax Provider Permission Set, added ORGANIZER_DUE_DATE and CALENDAR_DUE_DATE to the TAX_RETURN_DETAIL table to allow mobility or tax provider users to track the dates that employees are required to submit their tax organizers and/or travel calendars. Please see the Vendor Integration Manual - Tax Provider for details.

  • The “Organizer Due Date” and “Calendar Due Date” fields can also be configured to be part of an Update Value(s) Event Definition, allowing data exchange with vendors that use both AssignmentPro and their own systems.

  • Mobile Employee Experience users can now electronically sign documents in the Mobile Employee Experience, as well as view documents that are in the process of being signed.

Pay Register Import

Fixed an issue with the Pay Register import where some of the data was not being removed with the undo process.

Policy Exceptions

Fixed an issue where custom fields were not appearing on the Policy Exception Details page.

Resources

  • In certain instances (including External Payroll Contacts), the Resource field was showing a “Required Field” validation message even when a resource had been selected in the dropdown list. This has been resolved.

  • Fixed an issue on the Assignment Tasks & Reminders and Checklist pages where the user would get a red box error when trying to assign a task to the employee.

Security Updates

As a standard process, Equus fixes vulnerabilities found through testing and analysis. For this release, one enhancement has been made to address findings.

In addition, the Content Security Policy was updated to include two (2) new domains: demo.docusign.net and docusign.net. These were added as trusted domains to the form-action policy entry. Self-hosted clients that have customized their content policy should review it before and after upgrading. Depending upon how the customizations were made, you will find that the upgrade has either stepped on your customizations, or that you need to add the new domains manually if desired.

Service Order Email Templates

Fixed an issue where merge tags were not populating on service order email templates.

Tax Service Eligibility Automation

Assignment Pro now supports the configuration of a set of logic rules per policy type that are used to automatically determine which tax services an individual is entitled. Tax Service Eligibility Rules are only applicable to International Assignments and Permanent Transfer Assignments.

  • A company level screen called “Tax Service Eligibility Rules” has been added to allow for the creation and maintenance of rules that can be automatically applied to an assignment policy.

  • Tax Service Eligibility Settings section allows for the rules created in the Tax Service Eligibility section to be applicable based on assignment Start Date or an assignment Effective Date.

  • Tax Service Eligibility Rules will not be applied to Business Traveler Assignments (as these records do not store start/end dates from which eligibility can be determined).

  • If a rule generates a tax year that isn’t in the “Tax Years” or “Tax Years (Fiscal)” System Lookup Maintenance lookup field, the year will automatically be added so it can be selected on the assignment level Tax Service Eligibility Screen.

  • The Tax Service Eligibility rules engine will use the tax year end date by country (either fiscal or calendar) to calculate eligibility records for an assignee.

  • The assignment level “Tax Service Eligibility Screen” has been updated to a dashboard view which allows for the creation and display of tax service eligibility records for a specific year and country. All assignee eligibility records automatically created by the rules will appear on this screen.

  • Each eligibility record has an associated status which can be updated as the tax services is approved or canceled.

  • A button has been added to the assignment level Tax Service Eligibility Screen called “Automatically Create Tax Eligibility Records” which will create records for the assignment from a configured company rule. This button will only display if active rules are available.

  • Quick Workflow has been modified to support running a new process called “Calculate Tax Service Eligibility” on the “Other” tab which will run any configured Tax Service Eligibility Rules when the quick workflow conditions are true.

  • An upgrade path has been added to remove any duplicate entries in the TAX_ELIGIBILITY_YEAR table.

  • A new flexible header import named “Tax Eligibility Year Flexible CSV Import” has been added to support bulk updates and maintain data in the TAX_ELIGIBILITY_YEAR and TAX_ELIGIBILITY_YEAR_CF tables.

  • Two new system User Reports have been added to view and manage assignee tax service eligibility records.

    • Equus – Tax Service Eligibility by Assignment: Report used to generate a list of assignee tax service eligibility, filters on Assignment ID or where the tax year end date = current year or next year.

    • Equus – Tax Service Eligibility All Employees: Report used to generate a list of all assignee tax service eligibility records.

  • A widget “Tax Service Eligibility Records for All Assignments” has been delivered to display all tax service eligibility records for the employee (rather than needing to check each assignment record). The widget can be selected and displayed in the dashboard.

Tax Return Details

  • Added two new fields to the Tax Return Details screen: “Organizer Due Date” and “Calendar Due Date”. These fields can be populated as part of the Tax Return preparation process.

  • “Organizer Receive Date” can now be automatically received as the employees complete their tax organizers.

  • Provided the ability for employees to view their Tax Return documents in the Documents card as well as the Tax Benefit & Services card on the Mobile Employee Experience. As part of this change, Tax Return documents also display on the Assignment Documents screen.

U.S. Domestic Tax Gross Up

  • Fixed an issue in payroll reports where state and gross wages could be incorrectly reported.

  • Fixed an issue where state tax calculations would always be rounded to the nearest dollar for states listed as not conforming to Federal tax changes.

  • Fixed an issue where recent tax law changes caused the State Net Wages column of payroll reports to not calculating correctly.

User Reports

  • Fixed an issue where fields with “Cost Estimate” in the name were incorrectly replaced with UV_COST_ESTIMATE. This issue caused errors with some user reports.

  • Resolved an issue where scheduled reports would sometimes not execute.

Vendor Integration

  • In the Tax Provider Permission Set, added ORGANIZER_DUE_DATE and CALENDAR_DUE_DATE to the TAX_RETURN_DETAIL table to allow mobility or tax provider users to track the dates that employees are required to submit their tax organizers and/or travel calendars. What-If Cost Estimates

  • Fixed an issue where Cost Estimates configured to use Calculation Inputs would sometimes show an unexpected error on the Calculation Inputs tab.

  • Improved error logging verbosity for What-If Cost Estimate functionality to improve troubleshooting of unexpected behaviors.

Widgets/Dashboards

  • Created 3 new dashboards and corresponding widgets that give a user the ability to quickly link to the user reports and spreadsheet calculations that back line items for Cost Estimates, Compensation Calculations and Compensation Worksheets.

    • Dashboards are set to default

    • Excludes inactive spreadsheet versions

    • Sorted with the latest spreadsheet version on top

    • Returns both System and Company level reports

  • A quick link widget was added on the User Maintenance screen that will provide a link to the Resource record tied to the user id.

    • Dashboards are set to default

    • Provides a link of a resource is associated to the given user; otherwise displays text that the user does not have a resource record

  • An update was made so that inactive widgets will no longer appear in the drop down list of available widgets.
