Key Features

Release 19.1 includes a number of new features which significantly enhance the functionality of AssignmentPro.

Employee Elections

Employees are asking for more self-service and flexibility in the way that their mobility services are provided. The employee elections feature allows mobility teams to efficiently give employees choice and online services through easy-to-use functionality.

  • Employees can select the benefit or compensation items they would prefer, from preset options.

  • Budgets allow employees to prioritize their spend and employers to manage their costs.

  • Ability to cash-out any leftover budget and optionally reduce the cash paid by a set percentage.

  • Automatically issue elections to employees based on trigger events.

  • Issue multiple elections where different decisions are required.

  • All tracked in AssignmentPro, with resulting workflow.

  • Easily push non-monetary decisions/approvals to employees.

Using employee elections, mobility teams can create end-to-end automated workflow that triggers itself, interacts with employees and sends the results/actions onto vendors, HR and the business. For example:

Coming in 19.2: We will be adding the ability for employees to view the value of their expenses claimed against budgets agreed through employee elections.

Family Data Copy

No more copying family data from one assignment to another!

Now, when you create a new Assignment or Authorization, the Spouse / Partner and Children & Dependents data can automatically copy from the most recent assignment (assuming there is one).

All standard fields that are unlikely to change from one assignment to another, will copy to the new assignment, including passport data. Fields such as 'on assignment' status and whether the spouse or dependent is eligible for COLA will not copy over, as they are more likely to be assignment specific.

The feature is delivered turned off, to allow teams time to update their processes before making use of the new automation.

Other Features

Additional Resources # 11 - 30

Additional resources # 11 - 30 have been added to the Assignment and Authorization screens. The new additional resource fields allow clients to identify a greater number of resources linked to an assignment.

The fields have the same functionality as the existing additional resources 1-10.

By default, the fields are hidden, they can be made visible via data dictionary metadata override (DDMO), or Authorization Profile Override.

  • Additional Resources 11 - 30 are available for use in checklists, quick workflows, questionnaires and user reports.

  • Assignment Additional Resources 11 – 30 are available on the Mobile Employee Experience contact cards and the messaging contact list.

  • Authorization Additional Resources 11 – 30 will copy to the assignment’s corresponding fields when the assignment is created or updated after final approval is granted.

  • Assignment Additional Resources 11 – 30 will copy to the authorization’s corresponding fields when an authorization is created from an assignment.

APro to APro Integration

  • Updated APro to APro Integration to support:

    • Sending Country Code instead of Name. This improves reliability of the data exchange since Code is not editable in AssignmentPro.

    • Context-sensitive lookup values. Enhanced integration functionality to support updating lookup fields that require additional information for the correct value to be selected. This allows vendors to update values such as state/province fields when the country is also updated.

  • Assignment Dependent custom fields were not being tracked correctly when creating an Authorization from an Assignment, which prevented ongoing updates to Assignment Dependent custom fields during APro to APro integration. This is fixed.

Authorizations

  • Core Flex Policy Benefit Set Line Items that do not appear in the Authorization due to Situational Rule configuration now have NULL as their saved desired amount.

  • Fixed an issue where accidentally double clicking the “Copy to New Scenario” button would create multiple new scenarios.

  • Fixed an issue where a service was sometimes being authorized even when the Core Flex Policy Benefit Set Line Item had a zero cost.

  • Fixed an issue where Policy Field Exceptions generated from Core Flex Policy Authorizations did not have a defined currency.

Employee Elections

Added functionality to send elections to employees via the Mobile Employee Experience. Employee Elections can be used to ask employees to select benefits from within an election set, with the option of enforcing a budget and allowing cash-out of leftover budget. Employee Elections can also be used to ask employees to confirm/agree to non-monetary decisions.

  • Election Set templates support:

    • Optional cost calculations for each choice, to enable budgeting to be used.

    • Non-money quantity calculations (e.g. 7 days, 10 days).

    • Cash-out of any leftover budget, with the option to apply a penalty percentage.

    • Situational rules, so Elections only show when relevant.

    • Flagging of a recommended choice to the employee, to help guide their decisions.

  • Assignment level pages have been added, to allow for creation and review of Election Sets, before publishing to the Mobile Employee Experience (MEE).

  • Using the assignment level pages, internal users can make choices on behalf of the employee, with budgets still being enforced.

  • Election Sets pages have been added to the MEE for the Employee to make choices and review their previous choices.

  • The MEE ‘What’s Happening’ timeline has been updated to support Election Set notifications.

  • Company level pages have been added to configure Election Set templates.

  • Election Set templates use a new pattern of showing a warning when the configuration is incorrect.

  • Election Sets support custom terminology allowing per-Company and per-Election Set customization.

  • Quick Workflow has new options for automatically creating and/or publishing an Election Set based on data triggers.

  • A new Election Set screen group has been created to add the Election Set feature to a service.

Family Data Copy

Introduced the ability to copy family data from an existing Assignment to new Assignments, or Authorizations. This eliminates the need to manually copy family data when creating a new assignment or authorization.

Note: This feature is delivered turned off. Turn on the feature in system preferences (Assignment category) by setting the “Copy Family Data” System Preference to <Yes>.

  • Family data comprises Spouse/Domestic Partner and Children & Dependent information, including:

    • Personal Information (name, date of birth etc.),

    • Citizenship Information,

    • Passport Information, and

    • All Custom fields, regardless of whether they are configured to be shown on the Authorization.

  • When creating a new assignment or authorization, if the employee has an existing assignment, the family data will copy from the existing assignment.

  • Where more than one existing assignment exists, data will copy from the most recently-created active If there are no active assignments, the most recent inactive assignment will be used.

  • The copy feature will not apply to new authorizations where human resource information system (HRIS) integration is configured to send family data.

  • Users are notified when family data is copied to either the Assignment or Authorization, so they know to review and verify the information, in case it has changed.

  • To generate an audit trail, records that were created as a result of being copied are identified with “CopiedFromAssignment” as the Created By and Last Updated By user.

  • If family data is copied when creating a new Authorization, the user is prompted to confirm that the Spouse/Domestic Partner copied is the correct one. If not, that information is deleted. This makes it easy to replace an incorrect partner with a correct one.

  • To support the copy of information from Assignment to Authorization as well as the subsequent creation of the Assignment from the Authorization, the following fields were added to Authorization: Partner Preferred Name, Partner Passport(s), Dependent Passport(s). These fields will be used to ensure that data copied from an assignment to an authorization is available in any new assignment created from the authorization. The fields will not be made visible on the authorization itself.

  • Fixed a problem with Children & Dependent custom field values not being copied from the Authorization to the Assignment when the Assignment is created from the Authorization.

  • Fixed a problem with Children & Dependent records not being deleted from the Assignment when the Assignment is updated from the Authorization.

Mobile Employee Experience

  • Fixed an issue where the footer on profile pages would sometimes appear twice on iOS devices.

  • Fixed a problem where multiple custom field records were created from the Profile page when the Save button was clicked in rapid succession.

Move Management Services

Provided the ability to use Household Goods Vehicle in Quick Workflows and Checklists.

Questionnaires

Questionnaires have been enhanced so that they can be accessed by Internal and External Resources via the Internal - Tasks and Reminders widget. Previously, they were only accessible by Employee users through the ‘What’s Happening Timeline’ on the MEE.

Quick Workflows

  • Quick workflows enhanced to retry under certain conditions such as deadlocks or timeouts.

  • Fixed an issue where the Relocation Coordinator field could not be selected under the Assignment table for Quick Workflows and Checklists.

Report Scheduler

Prevented the entry of 0 for any scheduled recurrence frequency. This fixed a conflict issue with services.

As a result of this, any scheduled report that has 0 entered as the recurrence frequency at the time of the 19.1 upgrade will be set to Inactive.

U.S. Domestic Gross Up

Fixed an issue where expenses where not assigned the correct categories on Year End Reports when Account Excludable Type was set to Final Move.

User Reports

Fixed an issue with user reports, where user tables in excess of 100 columns were not allowing additional fields to be added.

Vendor Integration

  • Provided vendors with expanded ability to update fields in the following permission sets: Assessment, Orientation, & Training; Host Country Housing Rental Provider; Move Management Provider; Tax Provider; and Temporary Living Provider. This improves vendors’ ability to provide accurate data about the services they provide.

  • In the Assessment, Orientation, & Training Provider and Host Country Housing Rental Provider permission sets, revoked update access to the following fields: CREATE_BY, CREATE_DATE, LAST_UPDATE_BY, LAST_UPDATE_DATE. This ensures the audit of records changed by vendors is accurately recorded.

  • Provided functionality for vendors to store their name and unique identifier as part of specific AssignmentPro records, to improve their ability to locate and maintain records they own. Various tables in the following permission sets were updated. Please see the Vendor Integration user manuals for details.

    • Assessment, Orientation, & Training Provider

    • Health Care Provider

    • Host Country Housing Rental Provider

    • Immigration Provider

    • Move Management Provider

    • Pre-Move Trips Provider

    • Tax Provider

    • Temporary Living Provider

  • Added SOURCE_SYSTEM (100 char max) and SOURCE_SYSTEM_TEXT_KEY (100 char max) to allow vendors to track their own unique identifier for individual records in AssignmentPro. SOURCE_SYSTEM should be used to track the vendor’s name, and SOURCE_SYSTEM_TEXT_KEY should be used to track the unique identifier. These can be used in not just the Equus standard permission sets, but also custom permission sets. The two fields in combination can be used to identify, fetch, and update records. See user manual for details of the tables updated.

  • Added functionality to retrieve records from any record in any permission set using the following:

    • A record using a record’s ID.

    • A vendor’s unique identifier (SOURCE_SYSTEM_TEXT_KEY) and vendor’s name (SOURCE_SYSTEM).

    • A SERVICE_ORDER_ID, a vendor’s unique identifier (SOURCE_SYSTEM_TEXT_KEY), and vendor’s name (SOURCE_SYSTEM).

This allows vendors greater flexibility when interacting with any permission set used for Vendor or APro to APro Integration.

  • Updated APro to APro Integration to support:

Visa and Work Permit Details

The Case Details screen can now be locked and unlocked by users based on lock and unlock permissions. These permissions can be added to the Visa and Work Permit Case Details screen via Security Role Maintenance.

When a case is locked or unlocked, the following associated screens will also be locked/unlocked:

  • Visa and Work Permit details (and documents associated with this screen)

  • Visa and Work Permit Service Request Details

The Visa and Work Permit Service Request can be associated with multiple visa and work permit cases. This screen will only be locked if all associated cases have a status of locked. When a case is locked data cannot be modified on the screen.

Vouchers

In the Vendor Invoicing permission set, added read-only rights to SERVICE_ORDER!ID so that invoices can be associated with the correct expense entry.

Widgets/Dashboards

  • Updated DBO.EQ_STD_WEBPART_ASSIGNMENT_COORDINATOR to support Additional Resources 11 – 30. This function is used by certain widgets to display the resource’s contact information.

  • Updated the Assignment Resource User Identifier view to support assignment additional resources 11 – 30 (vwEQ_ASSIGNMENT_RESOURCE_USER_IDENTIFIER). This view is used for widgets that are specific to a logged in user, where that logged in user is selected on an assignment.

  • Added a new view vwEQ_AUTHORIZATION_RESOURCE_USER_IDENTIFIER which will support authorization additional resources 1 – 30. This view can be used for widgets that are specific to a logged in user, where that logged in user is selected on an authorization.

  • Fixed User Report Type Link widget. Previously the “Run HTML” and “Run Excel” links would not allow a user to successfully run a report that contained prompt filters. The links will now work with and without prompt filters.
